Job Summary
POSITION PURPOSE
Perform all college wide accounts payable transactions and processes, accurately and in accordance with campus, MN State and federal regulations. Perform cashiering functions for both the campus store and business services. Provide support services to Business Services and the Campus Store.
PRINCIPLE RESPONSIBILITIES AND RESULTS
Process payments and related transactions for purchases made out of the Minnesota State Treasury and the local bank account timely and accurately. This process includes reviewing, assembling and preparing documents for payment approval. Reconciling vendor statements, researching and correcting discrepancies. Maintaining files and documentation, both electronically and hard copy, thoroughly and accurately, in accordance with campus policies and procedures and accepted accounting practices. Respond to vendor inquiries. Work with faculty and staff to assist in their understanding of policies and procedures compliance. Perform quarterly review of outstanding purchase orders.
Assist students with purchases and payment inquiries. Accept approved payment methods necessitating the proper handling of each payment method. Provide receipts, determine the account(s) affected and record transactions against the appropriate account(s) to ensure that accurate, verifiable accounts are maintained consistent with federal, state and campus regulations, policies, procedures, and generally accepted accounting practices. Reviews local bank account entries, identify EFT and ACH entries that have not been entered in accounting system and process as necessary. Verify ACH exceptions and approve or reject. Reconcile payment transactions generated from Customized Training division accounting systems.
Compiles, audits, and processes employee expense reimbursement documents in compliance with directives and negotiated employment contracts; by reconciling expenses claimed to receipts and substantiating source documents. Provides technical advice and completion guidance to employees and their supervisors concerning the accurate submission of employee expense reports. Ensures prompt payment of completed expense reports.
Assist the Campus Store Coordinator with Campus Store operations on an as needed basis; especially during the semester start and buyback seasons. Other duties as assigned, this may include but is not limited to providing backup functions to Business Services staff, updating the Business Services website as requested, processing outgoing and incoming mail and shipments.
Qualifications
Minimum Qualifications
- Knowledge of arithmetic and mathematic skills sufficient to compute the totals, make change, averages and percentages of numerical data and to check or reconcile data.
- Ability to collect payments, count money and make change for customers.
- Knowledge of basic business and government accounting terminology, principles and procedures sufficient to record, post, and code information.
- Skill in basic accounting sufficient to identify and resolve discrepancies in accounting records.
- Knowledge of basic principles, practices and techniques of database management.
- Knowledge of standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect them.
- Ability to learn how to establish, maintain, and use electronic databases; including point-of-sale systems.
- Ability to provide courteous and efficient service and communicate effectively with customers including the public, students, vendors, employees, stakeholders, sufficient to explain policies and procedures and deal with complaints from customers who may be hostile, confused, or agitated.
- Written and spoken English, including the meaning and spelling of words, rules of composition, and grammar sufficient to speak, read, understand, and respond to written and oral communications.
- Ability to input, file and retrieve information quickly and accurately based on content, using alphabetical filing practices.
- Ability to prioritize responsibilities and projects in order to meet deadlines.
- Ability to maintain confidentiality of information received in compliance with internal policies, directives and State of Minnesota data privacy regulations.
- Strong interpersonal skills, teamwork skills, and customer service orientation to establish and maintain effective working relationships with all levels of management and stakeholders, including the ability to communicate both orally and in writing adapting to the level of audience.
- Ability to lift and move items weighing 25-30 pounds on a regular basis or while unpacking, packing and delivering items.
Preferred Qualifications
- Two-year accounting degree or 5+ years of relevant work experience.
- Knowledge of laws, policies, and procedures of Minnesota State and State of Minnesota.
- Ability to handle high volume cash transactions (count cash, make change, etc.) sufficient to process cashier transactions.
- Skill in data entry sufficient to receive and review documents, compare documents to database information, edit, code and correct documents. Working knowledge of ISRS or equivalent data management system.
Physical Requirements
- Ability to handle items weighing 25-30 pounds on a regular basis or while unpacking, packing and delivering items.
Additional Requirements
In accordance with the Minnesota State Vehicle Fleet Safety Program, employees driving on college/university business who use a rental or state vehicle shall be required to conform to Minnesota State's vehicle use criteria and consent to a Motor Vehicle Records check.
