Your Role . . .
MEMBER SERVICES LEAD SPECIALIST (Account Clerk II)-
Our Member Services Lead Specialists (Account Clerk II’s) assist with the management of our communication and information hubs in the Recreation Centers providing extensive and direct legendary customer service. Our Recreation Centers are open seven days a week from early morning to late night, including most holidays.


Specific duties and responsibilities include, but are not limited to:


Office Management and Supervision

  • Assist Office Supervisor with all aspects of managing the office
  • Provide guidance and support to team members and customers on escalated complex inquiries and transactions
  • Assist with development, enhancement, oversight, training, and/or execution of various processes such as program registrations, delinquent payments, and contract payments
  • Oversee hiring, training, mentoring, scheduling, task assignments, performance reviews and discipline of part-time team members
  • Audit payroll meeting established deadlines
  • Generate and analyze financial and statistical reports
  • Assist Office Supervisor with developing team goals and tactics to reach goals
  • Assist team in meeting established goals and expectations
  • Provide positive leadership
  • Actively participate and model behavior that creates a positive, inclusive, and welcoming atmosphere
  • Supervise full-time team members in the absence of the Office Supervisor
  • Actively and positively engage with customers, providing them with options to enhance their experience
  • Provide facility tours to prospective members
  • Provide information related to a variety of topics, pending customer questions and needs
  • Conduct activity and membership sales while up-selling and cross selling our programs and services
  • Resolve customer concerns and account inquiries in a positive manner
  • Assist customers with account inquiries
  • Provide legendary customer service in person, via multi-line telephone, and electronically


Member Services Operations

  • Enter and maintain program information in ActiveNet database
  • Process registration forms and financial transactions for a variety of classes, camps and programs utilizing database and point of sale systems
  • Maintain confidentiality of database accounts, financial records, FOIA’s, and other matters
  • Process room rentals and complete work orders
  • Interpret and explain customer accounting transactions
  • Manage filing systems and records retention
  • Prepare written correspondence and record meeting minutes
  • Utilize Microsoft Office products such as Word, Excel and Outlook
  • Work with databases such as ActiveNet, InSITE, Corvel and Risk Master
  • Assist in resolving center computer, printer, copier and phone issues
  • Operate standard office equipment and Point of Sale system (computer, POS keyboard, ID camera, credit card system)
  • Assist with other administrative support projects and tasks as needed


Financial Accountability

  • Process and verify for accuracy daily revenue collection and end of night closeout reports
  • Prepare and submit daily financial reports for deposit to include end of night closeout report
  • Prepare and execute bank deposits
  • Audit daily revenue collections, deposit slips and cash balance reports for accuracy by detecting errors and making corrections
  • Adhere to all City and departmental policies and guidelines, create requisitions and purchase orders which may include requests for quotes; audit and process invoices and payment vouchers
  • Provide procurement guidance and assistance to other team members

Minimum Requirements:

MINIMUM QUALIFICATIONS:
High school or GED plus two (2) years experience in fields providing the required knowledge, skills and abilities, such as clerical accounting or bookkeeping; or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.

SPECIAL REQUIREMENTS:
All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.

Preferences:

In addition to the minimum requirements, the ideal candidate for this position will have experience listed in the preferences below. Candidates with the preferred experience should ensure the information is provided on the application.

  • 2 or more years experience in providing legendary face to face customer service
  • Recent experience with computerized cash register (point of sale system)
  • Supervisory experience that includes hiring, training, discipline, performance evaluations
  • 2 years of experience working at a front desk or information desk
  • Recent experience in revenue collection, reconciliation and financial accountability to include auditing daily revenue collections, deposit slips and cash balance reports for accuracy by detecting errors and making corrections
  • Experience resolving customer accounts/issues
  • Strong oral and written communication skills
  • Microcomputer proficiency utilizing Microsoft Word, Excel, and Outlook
  • Experience with InSite or other financial and payroll software system
  • Experience with Active Net software or other registration/membership automated software system
  • Experience with Corvel/CareMC and Riskmaster X or other automated accident reporting system
  • Ability to work effectively as a team member or leader
  • Ability to understand and follow complex oral and written directions
  • Ability to work independently, problem solve and make decisions
  • Ability to handle multiple tasks with frequent interruptions

The position you are applying for is designated as Alpha I, requiring the selected candidate to work, regardless of the City’s operational status.

Must be available to work varied hours (early mornings, nights, weekends and holidays) to facilitate center operations.

Typical weekday shifts currently include 4:45 a.m. to 2:15 p.m., 8:00 a.m. to 4:30 p.m., mid-shift of 10:00 a.m. to 6:30 p.m., closing shift of 12:30 p.m. to 9:30 p.m., and weekend shifts of Saturday 8:30 a.m. to 5:00 p.m. and Sunday 8:30 a.m. to 5:00 p.m.

Work location and/or schedules may change based on operational needs.
