Accounting Assistant - Combined Courts
Hourly Pay Rate: $19.86
Closing Date: May 23, 2023, or upon receipt of the first 50 application submissions

Job Summary: Under supervision, to perform various accounting duties involving the review of source documents used for accounting, maintenance of ledgers, registers or other records of initial entry. Including the maintenance of control accounts, assist with collections and tax intercept programs and the preparation of periodic and special financial reports.

Essential Duties and Responsibilities:
  • Reconcile daily activity within CCAP (Circuit Court Automated Programs) system with bank records and update Infor (County's accounting system) to reflect bank account activity, charges, credits, e-filing credits, ACH payments) as indicated by the bank.
  • Analyze and interpret court orders to ensure that required cash distributions are correct and authorized. Distribute appropriate documents to purchaser of property via Sheriff’s Sale upon verification that court order complied with.
  • Data entry as appropriate into Excel, CCAP, and/or Infor systems. Prepare a variety of daily/weekly/monthly accounting reports. Compile monthly ST-83 reports (revenue reports to the State) into annual report.
  • Daily submission of data file to bank for checks written the prior day as a preventative measure against attempted cashing for fraudulent checks. Daily communication as needed with bank on exception reports for cashed checks not submitted with previous data files
  • Investigate aged payables, ascertain correct parties to be paid, turn over remaining unpaid funds to County Treasurer as appropriate under Wisconsin Statute 59.66
  • Correspondence with parties that have issued Non-Sufficient Funds checks to the County and initiate collection efforts to get repaid.
  • Performs other duties as assigned.
Minimum Requirements:
  • One (1) or more years of experience working in bookkeeping/accounting and cash handling
  • Associate or higher degree in related field may substitute for experience needed
Preferred Experience:
  • Familiarity with Excel spreadsheets preferred
  • Degree in Accounting

  • Makes decisions of responsibility involving evaluation of information; decisions may require development or application of alternatives or precedents
  • Understand and follow instructions. Execute decisions within limits of standard policy and procedures
  • Interpret and adapt to established practices and procedures using independent judgment to meet situations to which applications are not clearly defined
  • Knowledge of all related computer and software applications, such as word processing and spreadsheets
