Benicia Fabrication & Machine, Inc. is looking for an A/P Clerk/Office Assistant who is able to undertake a variety of office support tasks and work diligently under pressure.The incumbent is expected to be comfortable working with high degree of attention to detail and confidentiality as well as incorporating new and effective ways to achieve better results.

This role provides support to the front office; however, it will also support other departments, as needed.

Duties:

  • Greeting and assisting visitors

  • General clerical functions, including:- Copying, faxing, data entry, filing, etc

    • Answer, screen, and transfer calls.
    • Mail and package distribution
    • Ability to use computers for data entry, form manipulation, and database manipulation
    • Enter daily timecards and complete daily timecard audits.
  • Accounts payable functions, including:- Receive, verify, process, and reconcile job cost, inventory, and general/shop supply invoices.

    • Close jobs and account for all job costs by reviewing open PO and packing slip reports, QC documentation, and the bill of material (BOM).
    • Communicate with vendors and various departments to obtain invoices and costs.
    • Ensures credit is received for outstanding memos.
    • Enter and reconcile accruals
  • Ability to learn and adapt to new procedures

  • Ability to follow detailed directions and established office procedures

  • Able to lift 20lbs

  • Capable of following company safety rules and procedures, and working safely

  • Other administrative duties as needed

Education:

  • High school diploma or general education (GED) required.
  • Some college level courses in Finance, Accounting or Business Administration preferred.
  • Basic math calculations.

Experience:

  • Some experience in administrative assistant, and/or receptionist type of working environment preferred.
  • Working knowledge of general office equipment and computers
  • Excellent time management skills and ability to multi-task and prioritize work
  • High degree of attention to details and confidentiality
  • Ten key
  • Data entry experience
  • Moderate proficiency in MS Office (MS Word and MS Excel, in particular)

Salary info:

$20 - $22 / hr
