Adirondack Design is looking to hire an Administrative Assistant to aid in completion of the tasks listed below. The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to self start will ensure your success in this multi-faceted role. Responsibilities
- Collect daily postal mail and distribute accordingly
- Banking deposits processed as needed
- Office phone line answered as needed
- Office email correspondence and documentation - filed, tracked, and followed up consistently
- Office errands as needed, i.e. post Office, Pick up drawings, mail out packages, etc
- Attend site meetings if needed and available
- Accounts payables - process payments coordinated and approved with staff and accounting as directed
- Accounts receivables - create, track and manage client invoicing and reimbursables
- Client fixture ordering and tracking of items as needed
- Track and enter own time and Architect's time into payroll system consistently
- In-House and On-Line filing of all documents carefully
- Prepare for all meetings with agendas, documents, reminders, invites
- Create client start up files with Project Information Sheet Processed
- Organize archive files and office samples
- Work with staff for routine cleaning and maintenance of office
- Ordering of office supplies as directed
- Track and Manage company advertising with reports and financial budget as directed and needed
- Track and Manage each client financial profit progress studies
- Track and Manage daily To-Do lists prioritized with reminders to staff as needed
- Track and Manage all client lists and status of progress of each client
- Track and Manage client project specifications, finish and fixture schedules
Qualifications
- Some College Experience Preferred, Not Required
- Experience with Mac / Apple Products Preferred, Not Required
Job Type: Full-time
Pay: $16.00 - $17.00 per hour
