Advancing Opportunities, an affiliate with Apis Services is currently seeking qualified candidates to fill the role of Full-time Administrative Assistant position in Parsippany, NJ
$15.50 Hour - $32,240 a year - $1000 Sign on Bonus, Benefits and Paid time off
The Administrative Assistant supports the efforts of each department member in their duties through the performance of clerical duties as listed below. Provide administrative support for the state-wide Community Support Programs, Residential (North) programs, as well as some EHR and administrative assistance for their immediate supervisor and the Executive Director.
This role supports communication and facilitation between staff members, other departments, consumers, and funding sources, dispersing documentation to the appropriate department for expedited processing.
Advancing Opportunities employees are expected to maintain a good working relationship with individuals served, contract agencies, third party players, other social service provider personnel, families, Advancing Opportunities staff and other Advancing Opportunities stakeholders.
In addition, Advancing Opportunities staff members are expected to exercise good judgment and problem-solving skills, function as liaisons to other Advancing Opportunities agency programs, in a professional manner.
Qualifications:
- High school graduate / Equivalent
- Minimum of two years of experience in a similar position.
- Microsoft Office and/or other relevant computer software as related to the job responsibilities.
- Excellent verbal and written communication skills; including interpersonal skills and ability to communicate effectively with individuals with disabilities, families, co-workers, staff, supervisors, funding sources, and other social service agency personnel;
- The ability to work independently with minimal supervision; problem solving, organization and time management.
- Pass background checks, drug screening and other related requirements
Essential Responsibilities:
- Answer telephones, route calls appropriately, take messages accurately;
- Process client intake and referrals;
- Receive and track department’s billable hours;
- Submit reports on department services provided;
- Maintain departmental client files;
- Maintain and update department’s database;
- Assist with and participate in departmental functions including: (1) taking minutes at departmental meetings; (2) coordinating travel arrangements and itineraries; (3) facilitating arrangements for conferences held on premises; (4) faxing and mailings
