POSITION SUMMARY
The Administrative Assistant position provides a wide range of administrative support functions for the Office of the CEO and other senior leaders within the Murdock Trust. This position works independently and with a high level of professionalism and confidentiality. The Administrative Assistant possesses excellent verbal and written communication skills, strong decision-making, flexibility, and attention to detail. The Administrative Assistant believes in and promotes the mission of the Trust and contributes to a professional, collegial, and pleasant working environment. This non-exempt, full-time, temporary position is located at our office in Vancouver, Washington and is eligible for hybrid work after an initial onboarding period.
REPORTING AND SUPERVISORY RELATIONSHIPS
The Administrative Assistant is supervised by and reports to the Manager, Executive Office and Trustee Relations.
TYPICAL RESPONSIBILITIES
Administrative Management
- Responsible for calendar management for extremely active calendars, requiring interaction with both internal and external executives and assistants, as well as others, to coordinate a variety of executive meetings, programs, and activities of the Trust.
- Prioritizes and manages multiple projects simultaneously and follows through on issues in a timely manner.
- Assists with special projects as directed by the Manager, Executive Office and CEO.
- Provides support for executive leaderships’ involvement in associations, membership organizations, and boards, as needed.
- Compiles and submits monthly expense reports for the Office of the CEO.
Communication Support
- Provides coordination of all written correspondence delivered to, and sent on behalf of, the Office of the CEO.
- Supports communication with Trustees and supports planning, executing, and documenting work of executive management and Trustees.
- Prepares agenda, minutes, and follow-up materials for regular staff meetings.
Convenes support staff and supports communication and coordination of the work of the Trust, as needed.
- Provides support for roundtables or other convening activities, as needed.
Travel Logistics and Event Support
- Participates with the events team in arranging lodging, food, and other needs for annual Trustee/Staff retreat, annual Trust Christmas dinner, and other special events as needed.
- Arranges travel schedules and reservations for executive management and Trustees as needed.
EXPERIENCE AND EDUCATIONAL REQUIREMENTS
- 2-3 years administrative experience, preference to experience at the executive level.
- Bachelor’s degree preferred, or Associates with evidence of continuing education.
- Excellent calendar management and meeting coordination skills.
- Excellent written and oral communication skills; editing/proofreading experience a plus.
- Ability to quickly acquire a solid understanding of grantmaking procedures and practices and event management.
- Familiarity and comfort in being in a work environment where faith-based organizations and individuals are present and part of the day-to-day programing and operations.
- Strong organizational and prompt follow-through skills; demonstrated reliability and high-level detail.
- Continuous learner with a desire to grow professionally.
- Demonstrated initiative with a can-do approach to work assignments and challenges.
- Confident knowledge of Microsoft 365 including Word, PowerPoint, and Excel.
COMPENSATION AND BENEFITS
The salary range for this position is $49,000 to $57,000, commensurate with skills, training and experience.
