The HR SOURCE is now seeking an Administrative Assistant in Jersey City, NJ! If you have 1-2 years of experience and are seeking to learn and grow with a government agency, this might be the position for you! This is a full-time, contracted position working 100% onsite for a minimum of 6 months with the potential for permanent placement!.

Administrative Assistant - Job Description:

  • Perform and be responsible for a variety of secretarial, clerical, and typing duties requiring speed and accuracy.
  • Create, proofread, copy, and distribute various correspondences – mail, memoranda, notices, bulletins, and other documents.
  • Scanning, coping, mailing, and emailing confidential documents.
  • Prepare, complete, check, maintain and file administrative records, forms, reports, employee files, pertaining to various Division subjects and correspondence files.
  • Serve as receptionist, receive, and make telephone calls to give or obtain information and answer inquiries; in addition to responding to requests from internal and external sources. Arrange meetings and reserve conference rooms. Screening and directing calls.
  • Receive, sort, and distribute incoming mail.
  • Input information and data into databases and/or spreadsheets.
  • Operate and arrange service and order supplies for standard office machines.
  • Prepare and submit business travel requests, make travel arrangements for staff, and enter travel authorization requests and expense reports into the BEAM AD TRAV travel system; unit is willing to train someone who is knowledgeable of computers.
  • Perform other duties as assigned.

Qualifications

  • Ability to prepare reports and correspondence, use independent judgment and make decisions.
  • Ability to operate effectively and use standard office equipment and have working knowledge of Microsoft office suite components, such as Teams, Outlook, Word, Excel, PowerPoint and other computer applications, plus fundamental math skills.
  • Ability to prioritize assignments and be able to multitask.
  • Ability to keep and maintain documents confidential.

Job Type: Full-time

Pay: $20.00 per hour

Schedule:

  • Day shift
  • Monday to Friday

Ability to commute/relocate:

  • Newark, NJ 07114: Reliably commute or planning to relocate before starting work (Required)
