Under the supervision of the Children and Family Services Manager, perform general clerical and administrative tasks to support the daily operations of LeafBridge Services. Assure information is generated and maintained as required by regulatory bodies, accreditation, funding and billing sources.
QUALIFICATIONS: High school diploma or equivalent and one to three years medical and/or rehabilitation office experience and scheduling required. Experience with electronic medical record keeping required. Ability to work with staff and client families in a professional manner. Proficient in Word and Excel required. Reliable, organized, good written and verbal communication skills and detail oriented. Ability and willingness to interact with children and families receiving services, while maintaining professional boundaries. Must have reliable daily transportation.
RESPONSIBILITIES:
- Provide clerical support to staff: prepare and proof letters, reports, correspondence to families, minutes, mailings, and other documents as assigned.
- Answer telephones take messages and direct all requests for information.
- Schedule evaluation, re-evaluations and new therapy appointment for all therapy services with support of case management and Director of LeafBridge Services.
- Maintain the schedule (including re-scheduling appointments) for therapy programs on a daily basis.
- Maintain current staff and client listings, mailing and phone/contact lists as well as the LeafBridge Services database (Raintree).
- Order and coordinated clinical/office supplies and equipment.
- Maintain and organize client sign-in sheets and document attendance statistics.
- Update relevant forms and operations manual procedures to reflect revisions and additions on regular basis. Ensure that department members receive, and update agency and personnel manuals as needed.
- Assist in collecting and updating demographic and outcome measurement information for all LeafBridge Services Programs.
- Complete chart reviews as indicated per outcome measurement protocol.
- Send annual paperwork to families and follow up with families regarding delinquent paperwork.
- Track internal training and ensure compliance with all agency requirements.
- Register and track external training and CEU course for staff.
- Assist in sending out program related mailings as well as all Program Surveys to families and stakeholders.
- Maintain and monitor accurate records of all Employee Accruals as well as enter data for staff productivity.
- Assists the Director of LeafBridge Services and other personnel with projects as assigned (i.e. annual inventory and Medicare/Medicaid audits).
- Assist in scanning and filing documents and maintain the record keeping system for all LeafBridge Services Programs.
- Provide coverage for UCP front desk receptionist as needed
