VIP is seeking an entry level Administrative Assistant who is eager for on-the-job experience and training to support a wide range of administrative and corporate support tasks. This position requires a highly perceptive and organized individual who can relate to staff at all levels within the organization. The ideal individual in this role is comfortable in a fast-paced environment.

This role will be working on site in our Folsom office.

As an Administrative Assistant this position is responsible for performing job duties on a professional level and works closely with other HR, Accounting, and Administrative team members in supporting designated tasks or geographic regions. This position may carry out responsibilities in some, or all of the following functional areas: administration, facilities, training, performance management, onboarding, accounts receivable, and reporting.

General Administrative Duties

  • Answer the Main Office phone
  • Gather, sort, and deliver mail
  • Assist with office management
  • Maintain Dun and Bradstreet reports and error resolution
  • Maintain and distribute various administrative files and reports
  • Other Administrative projects or tasks as needed

Human Resources Support Duties

  • Process employment verifications
  • Track and ensure timely submission of employee timesheets; running and distributing reports as needed
  • Track and report activities for contract employees including associated HRIS updates
  • Assist with on boarding new employees including running and reviewing background checks, coordinating applicable reimbursements, responding to questions, and processing/verifying required employment forms
  • Other HR projects or tasks as needed

Accounts Receivable Support Duties

  • Responsible for Accounts Receivable collections, which includes contacting clients for payment status, and preparing weekly collection and AR aging reports
  • Post daily client payments in the accounting system, file cash receipt documentation and submit reports
  • Other projects or tasks as needed

Minimum Required Qualifications:

  • One or more years of experience in office administration or related field
  • High School Diploma or GED required
  • Advanced organizational technical skills- namely in Excel, Word, and other MS Office software
  • Exceptional written and verbal communication skills
  • Excellent problem solving, organizational and analysis skills
  • Ability to multi-task and prioritize multiple duties and bring open issues to successful resolution

Preferred Qualifications:

  • Associate degree in Business Administration or related field
  • Admin experience in a highly productive and fast paced environment

The compensation for this position is $18.00 to $23.00 per hour depending on experience and qualifications. This position is eligible for a benefits package including; medical, dental, vision, a 401(k) plan and company match, short-term and long-term disability coverage and basic life insurance.
