DESCRIPTION

This is an advanced administrative and confidential level position primarily responsible for providing general administrative office support to all staff within the Finance Department to ensure the office operates effectively. Responsible for coordinating all incoming calls and greeting all customers, determining nature of business, and directing callers/customers to their destination.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Receive all telephone calls, ascertain the nature of the call and direct phone call to the appropriate staff/department.
  • Greet guests and provide general support to customers, vendors, and guests as they arrive in the office.
  • Direct visitors to the appropriate person and office.
  • Open, date and time-stamp, sort, and disburse incoming and delivered mail.
  • Processes receipt of customers’ checks; prepare bank deposits; enter transactions into a financial system and or database.
  • Perform a variety of clerical duties such as filing, copying, and updating and scheduling meetings at the direction of department management.
  • Maintain supplies inventory by checking stock to determine inventory level; anticipate needed supplies; coordinate and order office supplies and equipment; verify receipt of supplies.
  • Prepare and organize all Finance staff travel.
  • Process a variety of routine correspondence.
  • Assist in year end organization and distribution of the CAFR.
  • Assist staff administratively in the year end audit process as necessary.
  • Assist the Financial Improvement Process Manager in updating and maintaining all Department policies and procedures.
  • Act as a liaison between the Finance Director and other departments and agency administrators, outside governmental agencies and the general public.
  • Assist with basic accounting clerical functions.
  • Assist with any other special projects as needed within the Department.
  • Regular attendance at work is required.

KNOWLEDGE, SKILL, and ABILITIES :
Knowledge of general office policies and procedures. Good knowledge of business English, spelling and punctuation and have the ability to write routine reports and correspondence. Applicant must have the ability to interpret and apply applicable laws, regulations and policies. Must have the ability to work independently, work well with others and manage time effectively. Ability to effectively communicate, both orally and in writing. Ability to establish effective working relationships with co-workers. Ability to perform routine administrative support activities .

LANGUAGE SKILLS:
Ability to read. Ability to understand policies. Ability to document procedures. Ability to effectively present information and respond to questions from groups or individuals to include: directors, managers, supervisors, co-workers, and the internal customers.
REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to resolve routine and non-routine problems in a professional, standardized manner.

MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to calculate tax rates and percentages. Ability to use a calculator.

OTHER
Strong computer skills including proficiency in Excel. Working knowledge of Banner preferred but not required. Strong work ethic and team player. Possess integrity and honesty sufficient to properly manage confidential information. Ability to get along with and work closely with other employees in an open office environment.

PHYSICAL DEMANDS:
The employee must be able to sit for prolonged periods of time, perform repetitive actions and motion of one or both hands, lifting up to 25 pounds, bend/squat/kneel, hear ordinary conversation and office sounds, conduct verbal communication in person and on the phone, and prepare and read written communication by hand and on PC.

MINIMUM QUALIFICATIONS

Associates degree in Business/Public Administration, Finance, Accounting or a related field. Minimum of two (2) year’s work experience in a secretarial, clerical, or administrative capacity. A Bachelor’s from a four (4) year college or university can substitute for two years of work experience and the Associates degree. Previous administrative experience preferred.
