POSITION SUMMARY:
This position is the first point of contact for the Judiciary and performs a variety of administrative functions for all branches of the court system to competently support efficient and effective court management. Duties include the faithful delivery of all appropriate assignments with thoroughness, accuracy, courtesy, honesty, openness, and professionalism. Must provide excellent customer service to a wide variety of court users and court personnel. Must conduct work without bias or prejudice while preserving the confidentiality of privileged information. Receive and direct court litigants, court documents and process other in-person, telephone, or email inquiries. Some duties require advanced or specialized knowledge and/or skills such as inventory management, information gathering projects and tasks, and court case processing. Continuation of this position is contingent upon funding allocations.
DUTIES AND RESPONSIBILITIES:
1. Provide personal integrity and service to justice as prescribed by the laws of the Oneida Nation.
2. Act as receptionist receiving all court users and direct to appropriate court or administration area.
3. Ensure accuracy of visitor tracking system.
4. Provide general information on court services available.
5. Explain general procedures regarding completion and filing of court documents to court users.
6. Receive and route incoming court documents from in-person or email sources.
7. Receive and route incoming U.S. and Intratribal mail according to departmental standards.
8. Answer and screen incoming telephone calls. Determine purpose of call and forward to appropriate personnel. Document and/or relay accurate messages according to departmental expectations.
9. File records and other documents according to departmental procedures. Retrieve files as requested.
10. Accurately scan court records into OnBase filing system.
11. Compose routine replies to general inquiries, type meeting notes, memorandums and/or narrative reports.
12. Copy and fax documents as needed.
13. Maintain accurate inventory of supplies and materials. Replenish supplies and materials according to Purchasing guidelines.
14. Adhere to cash handling procedures according to departmental standards.
15. Practice excellent customer service skills at all times to include, but not limited to addressing customer and employee needs courteously and promptly.
16. Adhere to all Tribal Personnel Policies and Procedures, Tribal Standard Operating Procedures, Internal Operating Procedures, Emergency Action Plan, and Area and Program Strategic Plans and Policies.
17. Ensure the professional standards of confidentiality and security of documents, recorded information and interpersonal communications in all Judiciary matters.
18. Attend meetings and trainings as required.
19. Contributes to a team effort and accomplishes related results as required.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
1. Work is generally performed in an office setting with a moderate noise level.
2. Frequently walk, sit, use or reach with hands and arms, talk and hear. Occasionally stoop, kneel, crouch, and lift and/or move up to twenty-five (25) pounds.
3. Must be able to move around in an office setting for meetings, customer walk-ins, operate office machines, etc.
4. A Tuberculosis (TB) Screening and/or 2 step TB Skin Test is required within thirty (30) days of employment and annually thereafter as required.
STANDARD QUALIFICATIONS:
1. Knowledge of business English, proper spelling, grammar, punctuation, and basic math.
2. Ability to understand, explain review of documents for accuracy of information.
3. Skill in proper telephone etiquette.
4. Skill in operating various word processing, spreadsheets, and database software programs in a Windows environment.
5. Ability to communicate effectively in the English language both verbally and in writing.
6. Ability to type.
7. Knowledge of records management and basic accounting procedures.
8. Must be dependable, self-motivated, possess initiative with the ability to work with minimal supervision.
9. Ability to operate standard office equipment including a personal computer, copy and fax machine and telephone.
10. Ability to prepare records, research and maintain accurate, up-to-date records and files.
11. Ability to handle multiple tasks, plan, organize, and prioritize duties and responsibilities.
12. Ability to represent the Judiciary in a professional manner building respect and confidence.
13. Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels.
14. Must adhere to strict confidentiality in all matters. (Must sign a confidentiality statement prior to employment.)
15. Must be willing and able to obtain additional education and training.
16. Must pass a pre-employment drug screening. Must adhere to the Nation’s Drug and Alcohol-Free Workplace Policy during the course of employment.
17. Must pass a background security check with the Oneida Nation in order to meet the Employment Eligibility Requirements, Tribal/State Compact and/or Oneida Nation Gaming Ordinance as they pertain to the position. A temporary license or Gaming License issued by the Oneida Gaming Commission is required as a condition of employment and continuing employment within the Oneida Nation's Gaming Division.
PREFERRED QUALIFICATIONS:
