The Pine School is seeking a proactive, positive, and passionate person to join our Administration.
Summary Description
The Assistant to the Head of School works year-round to provide consistent, confidential, and professional administrative support for the Head of School. The Assistant to the Head of School is responsible for facilitating and elevating the work of both the Head of School and her office. The Assistant to the Head plays an integral role in the day-to-day operations of the entire School community. The Assistant to the Head of School also provides primary staff support to the Board of Trustees.
Duties and Responsibilities
- Promote the School’s mission at all times
- Organize and review daily priorities and calendar events / meetings with the Head
- Schedule, maintain, and confirm the Head’s appointments and calendar activities in a proactive way
- Assist the Head with work and events related to the Board of Trustees, coordinating their schedules, attending meetings to take minutes and other notes, and maintaining the Board’s electronic files and other records.
- Routinely liaise with the School’s senior administrators to ensure the Head of School is providing them with needed support, particularly with the Development office.
- Review the Head’s mail and screen the Head’s phone calls and messages, making suggestions for follow up.
- Produce draft communication from the Head of School and proofread other written work as needed.
- Provide general clerical duties and administrative support to the Head of School. This might include filing, making travel arrangements, and running occasional errands.
- Keep the School’s master calendar and attend weekly event meetings.
- Plan, manage, and attend events sponsored by the Head of School’s office
- Bolster the School community by knowing one’s colleagues and School families.
- Compile information as requested, formatting reports, graphs, tables, records, and presentations.
- Perform other duties as assigned by the Head of School.
- And any other duties needed to help drive to our Vision, fulfill our Mission, and abide by our Organization’s Values.
Qualifications Requirements
- A bachelor’s degree is preferred but not required
- Minimum of three years experience as an executive assistant to a high-level administrator. Experience working at a school is a plus.
- Commitment to a high level of confidentiality
- Excellent verbal and written communication skills
- Keen analytical and organizational skills and a detail-oriented work style
- Technologically savvy and confident with advanced skills in Google applications or Microsoft Office suite
- Proven ability to take initiative, prioritize tasks, manage multiple projects, and make sound decisions
- Collaboration with coworkers and other community members so as to prioritize the head of school’s work and time
- Availability to work overtime as needed to attend meetings and events that fall outside typical school hours.
- Warm and inviting, personable, and considerable patience.
- Possess or be willing to attain a Notary Public license

School History
The Pine School was founded in 1969. The school was first called The Pine School under the leadership of
Mr. Harold Potsdam, its founder. In 1975 the school changed its name to St. Michael’s School and a Board
of Trustees were appointed. It was at this time that St. Michael’s became a non-profit day school with an
Episcopal affiliation. In 1994, the Board of Trustees renamed the school St. Michael’s Independent School,
ending the Episcopal affiliation, while retaining all of the same internal procedures and traditions. In July
2006, the school officially returned to its original name, The Pine School.
General Information
The Pine School is a college preparatory, all-faith day school that serves students from Kindergarten
through grade 12. The Pine School provides a strong traditional core curriculum while striving to instill high
achievement and a lifelong love for learning. The school’s objective is to develop each student’s intellectual,
physical, and creative talents in a supportive and moral environment. Students are encouraged to promote
service above self and are inspired to develop a sense of commitment and involvement within their
community.
In K-4, small class sizes and a challenging curriculum enable students to learn important academic skills in a
nurturing and caring environment. The children become knowledgeable in computer technology and the
multifaceted fine arts and physical education programs are an integral part of the curriculum.
Expanding on the strong foundation of the K-4 program, the Middle School (grades 5-8) offers a rigorous
academic curriculum that promotes intellectual discipline, self-discovery, and creative thinking. Strong
emphasis continues to be placed on the core academic areas, fine arts, computer technology, and athletics.
Middle School students are encouraged to be self-reliant, critical thinkers who are civically responsible.
Within the Upper School (grades 9-12), students are challenged to achieve academically, to exercise
leadership, to participate in co-curricular activities that enhance their understanding of their own talents, to
share their gifts with others, and to position themselves for success at the college or university level.
In addition to academic requirements, graduation requirements include community service and a senior
capstone project. Internships, opportunities for multicultural exchanges, encounters with
entrepreneurs and critical thinkers, and seminars with artists and scientists advance the philosophy of the
Upper School connects students with a wider world and prepares them for leadership positions.
