Position Highlights
The Finance/Administration Team and the Office of Budget & Planning within Business Affairs are searching for an experienced administrative professional. This position will be responsible for providing administrative support to the Vice President/Chief Budget Officer and the Assistant Vice President for Finance and Administration. We are looking for a colleague interested in joining a highly dynamic team of financial professionals who provide a broad range of financial support across the university. A successful incumbent will work closely with these colleagues to ensure operational, strategic and financial goals are met by way of coordinating projects, tracking deliverables, facilitating communication and the day-to-day administrative needs of the team.

Duties & Responsibilities
- Provide calendaring & administrative support to the Vice President/Chief Budget Officer and Assistant Vice President for Finance and Administration.
- Provide logistical support and assist in the coordination and tracking of projects and their deliverables.
- Prepare and manage reports and their supporting documentation.
- Compile data, notes and information as requested.
- Facilitate communication and collaboration between team members.
- Provide purchasing support by making purchases, initiating purchasing transactions, coordinating receipts and reconciling.
- Provide day-to-day administrative support; order supplies, prepare agendas and meeting materials, take and store meeting minutes.
- Maintain record keeping systems, electronic files and databases.
- Manage space calendaring and reservation systems.
- Coordinate meetings, workshops, retreats and events.
- Maintain department listservs, contact information & directories, shared drive organization, websites and other organizational records.
- Coordinate staff travel authorizations, reservations, advances, reservations and related reimbursements.
- Draft communications (monthly messages, announcements, etc.)
- Provide employee On-boarding and Off-boarding support.
- Support the staff recruitment process by contacting candidates, scheduling interviews and providing logistical support.
- Additional duties as assigned.

- Demonstrates a high degree of professionalism, confidentiality and flexibility
- Able to work creatively with competing priorities and multiple team members at once
- Strong interpersonal and communication skills
- Positive aptitude towards team building
Minimum Qualifications
- Minimum of 5 years of relevant experience required
- High school diploma or equivalent, or equivalent learning attained through experience required
Preferred Qualifications
- Experience supporting executives and/or teams
