Under the general supervision of the Assistant Vice President of Student Wellbeing, this position assists the Student Wellbeing Division, in facilitating administrative processes and serves as an initial contact point for the students/clients being served in the areas of counseling, health services and fitness/wellness. The Administrative Coordinator is responsible for daily organization, administration and support in the implementation of various operational functions within the division of Student Wellbeing. This position will serve as the central office support professional for Student Wellbeing division staff members.

Major Duties and Responsibilities:

Essential Duties:

50% Administrative Coordination for Student Wellbeing Division
  • Assist AVP and Student Wellbeing staff as requested with functions including, but not limited to, scheduling meetings, preparing and disseminating agendas and minutes, processing and assembling reports, processing contracts and financial paperwork, communicating with students, faculty, staff, and constituents.
  • Assist as needed with budget and financial processes for the Student Wellbeing Division; working closely with the directors to maintain effective reports and records for the division.
  • Assist as needed in drafting, coordinating and deploying formal communications in collaboration with the Student Wellbeing staff members to ensure consistency, professionalism and proper branding.
  • Effectively communicate on the telephone, in-person and in electronic communications; informing students/clients and staff in an attentive, prompt, polite & compassionate manner.

50% Direct Student / Client Support
  • Serve as a primary contact for in-coming phone lines for both Counseling and Student Health Services; using pre-established protocols to determine student/client needs that may require immediate or urgent assessment.
  • Schedules appointments as needed for both Counseling & Student Health Services departments. Documenting student/client information clearly and accurately with service provider staff to enhance student/client care.
  • Electronically checks-in students/clients for both Counseling and Student Health Services appointments.
  • Demonstrates student/client advocacy assuring patients' rights to privacy, safety and confidentiality by adhering to HIPAA and FERPA guidelines.
  • Support general needs of the Student Wellbeing staff in partnership with support personnel of other areas including supervising student staff, ensuring office coverage, and managing special projects as appropriate.
  • Effectively communicate on the telephone, in-person and in electronic communications; informing clients and staff in an attentive, prompt, polite & compassionate manner.

Minimum Requirements:

Education:
  • High School Diploma or GED required
  • Bachelor's degree with business or medical office background

Experience:
  • 2-3 years experice in an administrative position, independently providing high level administrative support.
  • Strong customer service and support experience within medical or counseling office environment including phone, written, and in - person interactions.
  • Advanced knowledge of Microsoft Office, Suite Preferred
  • Experience with personal computer equipment and software including database and medical scheduling software.
  • Experience supporting multiple operational areas while prioritizing student/client and divisional needs
  • Basic knowledge of HIPAA & FERPA requirements

Working Conditions:

Working conditions are normal for an office environment. Other Requirements: Typical schedule M-F 8:30am - 5:00pm; FTE 1.0

Pay Rate:
$18.00 - $19.30 / hour commensurate with qualifications.
