Normal Work Schedule: Monday - Friday 8:00am to 4:45pm

Job Summary: Under limited supervision, assists the manager, department head or director in the day-to-day operations of the office/department. Oversees the general office, administrative and secretarial duties with some variety and complexity. Position will typically supervise staff support, work-study students and/or student assistants. Typical duties may include receiving, screening and routing telephone calls, mail and visitors, arranging itineraries/agendas, assist in planning meetings/ events, setting up and maintaining files (database and/or hardcopy), typing a variety of material, compiling data and preparing reports, purchasing office supplies and materials, maintaining budget records, act as daily liaison to other offices.

Additional Department Summary: This Administrative Secretary position in the College of Engineering Dean's Office provides administrative oversight and operational support for the Senior Associate Dean and Associate Dean for Undergraduate and Graduate Programs. Provides administrative assistance for all areas within the college that report to these positions to ensure smooth operations within the Dean's Office and the college. Performs a variety of functions which contribute to creating a professional, welcoming, and well-organized office. Serves as the primary staff member to greet visitors as they enter the Office of the Dean.

Required Minimum Qualifications: High School diploma or the equivalent and three (3) years of progressively responsible general office experience; OR Associates degree and one (1) year of progressively responsible general office experience; OR Bachelor's degree or higher.

Skills and Knowledge: Excellent communication and customer service skills. Efficient and accurate computer and data entry skills. Good organizational skills. Ability to work collaboratively in a dynamic setting. Knowledge of Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, etc.). High degree of self-motivation and directional initiative. Tact, versatility, cooperation, and adaptability.

Preferred Qualifications: Experience with the University's operating software programs (Banner, Maxient, Concur, etc.). Knowledge of the University's purchasing and travel policies and procedures.
