Job Summary


Scottsdale Community College (SCC) is seeking a full-time Administrative Specialist Sr. to join our Nursing team. The Administrative Specialist Sr. will provide support to the Health Sciences division chair and nursing department chair, faculty and students. The responsibilities are diverse and require skills in advanced administrative and secretarial office support, program and project coordination, independent decision-making, problem solving, effective communication, and customer service. The Administrative Specialist Sr. maintains communication with other administrative specialists, departments, and vendors as needed. This position interacts with diverse students, faculty, staff, administration, and the general public while maintaining confidentiality and providing excellent customer service. The Administrative Specialist Sr. will be the first to greet, assist, and direct students and visitors, providing customer service and assistance with a positive attitude is important. Prioritizing work and dealing with interruptions should be expected. This position will be involved in ordering, purchasing, tracking, and budgeting for the department. Working with others in teams may be needed to accomplish department directives.


To best serve the students, department, and college, this position requires a physical presence on campus, with the possibility of partial remote work depending on business needs.

Essential Functions


20% - Supports the division chair and department chair including but not limited to: schedules, prioritizes, coordinates, and performs administrative office support activities related to meetings, events, or office services; assists with research, gathers information, and coordinates activities; provides administrative support of projects, programs, or services

20% - Communicates with internal and external resources regarding policy/procedural events or program information; receives and responds to inquiries and information requests, resolving issues or referring requests to the appropriate resource

15% - Provides customer support of assigned systems or service area and provides technical assistance; greets, assists, and directs students and visitors; provides specialized administrative office support for and interacts with faculty, students, community members, administration, staff and general public; maintains communication with other administrative specialists, departments, and vendors as needed; maintains confidentiality and provides customer service

15% - Provides assistance, and participate in, training and orientation to other staff and adheres to applicable policies and procedures; performs other duties as assigned

10% - Monitors and tracks Nursing department budgets, funding, and expenditures; assists with budget preparation; and coordinates the inventory and replenishing of office supplies and office equipment maintenance services

10% - Researches, gathers, compiles, and reviews data and information in support of assigned function, program, project, or support area; designs and formats complex documents; and composes original documents, correspondence and presentations

10% - Creates documents, reports, correspondence, and/or other communication materials; prepares and maintains schedules, coordinates calendars, researches and makes travel arrangements; and oversees the maintenance of files, records, database information, and documentation related to assigned area and according to established procedures

Minimum Qualifications


Associate’s Degree from a regionally accredited institution and two (2) years full time of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

OR

High School Diploma/GED and four (4) years full time of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.


Desired Qualifications


A.. Experience assisting in scheduling college classes for an instructional department.

B. Experience with budgeting, purchasing, reconciliation using a p-card and fiscal management system.

C. Excellent written skills as evidenced by application documents.

D. Excellent skills in multiple types of technology including: MS Office (Word, Excel, and PowerPoint), Google Drive/Suite, Google Calendar, and video conferencing.

E. Experience with technologies specific to higher education, including: student information systems, financial management system, human resource management system, purchasing systems, room scheduling, etc.

F. Demonstrated experience with examples of multitasking and communication with various stakeholders such as faculty, administrators, staff, students, vendors and the general public.

G. Experience with healthcare related programs ensuring student and faculty compliance with requirements such as immunizations, CPR, module completion and testing.

Special Working Conditions

  • Travel to campus during the interview/selection process will be at the candidate's own expense.
  • Will be required to travel or be assigned to all MCCCD locations.
  • May be required to work evenings and weekends.
  • May require prolonged periods of sitting and viewing a computer screen.
  • May be required to lift or carry up to 25 lbs. May require lifting objects weighing up to 50lbs with assistance
  • This position requires a physical presence on campus with possible partial remote work depending on business needs to best serve the students, department and college.
  • May be exposed to hazardous chemicals
  • Climbing stairs and/or ladders to reach assigned areas
  • Will be required to work in an area of light to heavy noise levels daily
