JOB DESCRIPTION

Job Title: Grants Administrator Salary Range: $70,000-$90,000
Reporting Structure: Director of Sponsored Programs & Research
Division: Academic Affairs

Overview
The Grants Administrator reports to the Office of Sponsored Programs, Director and provides moderately complex financial management for sponsored research programs and administrative expertise in the Post-Award administration and reporting of Grants and Contracts.

Job Summary
Reviews and approves award documents for accuracy and completeness.
Reviews, approves, and processes source expenditure documents including purchase orders, payment requests, invoices, payroll and personnel forms, budget forms, and cash receipts.
Monitors expenditures to ensure compliance with agency and departmental guidelines, availability of funds, and appropriateness of expenditure.
Ensures documentation contains valid and current account number and proper authorization.
Maintains audit support documentation.
Creates financial spreadsheets to track changes and trends in payroll distribution, salary rates, and rollover account numbers.
Reviews and reconciles monthly ledgers, reconcile monthly salaries and benefit expenditures, verify correct indirect cost charges, adjust for equipment purchases, establish account numbers and budgets for new grants and accounts rolling over to new budget period, review grant expiration dates to ensure financial stability, and research and resolve all discrepancies.
Prepares financial report of expenditures for each budget cycle.
Creates financial spreadsheets to reconcile total expenditures with amount awarded utilizing data from financial accounting system and NIH award documents.

Makes appropriate journal and budget adjustments to balance accounts.
Prepares final reporting as mandated by agency guidelines.
Analyzes current and historic funding trends, forecasts future revenues, estimates payroll costs and other expenditures, and identify budget deficiencies.
Provides complex advice and counsel to scientists regarding funding.
May prepare specialized reports and forecasts as requested. Performs other duties as assigned
Duties/Responsibilities include:
DECISION MAKING

Exercise judgment within broadly defined practices and policies in selecting methods, techniques, and evaluation criteria for obtaining results and resolving problems/discrepancies. Erroneous actions would be detected by supervisory review. Notable expense risk.
SCOPE AND COMPLEXITY

Works on complex problems where analysis of situations or data requires an in-depth evaluation of known and unknown factors. Use professional concepts in accordance with department objectives to solve complex problems in creative and effective ways.

Required Skills/Abilities:

Bachelor’s degree or the equivalent combination of education, training and experience.
Minimum 5 years of experience in a grant and contract administration office.
Solid analytical, verbal and written communication skills.
Professional demeanor and solid spreadsheet skills are critical.
Familiarity with financial information systems and grant applications and awards, and thorough understanding of generally accepted accounting principles and federal accounting guidelines.

Skill and accuracy in detailed review of grants and contracts documents. Knowledge of applicable federal regulations (such as OMB Uniform Guidance), applicable state regulations and various funding source requirements; and accounting and auditing standards (such as GASB and GAAS).
