Purpose:

The Administrative Assistant III will provide support to the Maintenance & Construction Services department with administrative functions, such as answer calls and respond to inquiries, managing correspondence and scheduling couriers, processing expense reports, calendar management, scheduling travel, meeting/event planning, creating, or modifying business documents, preparing presentations from source materials, and act as a liaison for remote access issues.

Responsibilities

  • Provide administrative support to the department and work as a member of the team.
  • Plan, organize, and schedule meetings, events, and travel.
  • Interact with high-level executives and handle confidential or business-sensitive information. May provide back-up support to higher-level management when appropriate.
  • Coordinate and maintain departmental files, as assigned, in compliance with corporate and government regulations.
  • Manage the procurement of office supplies and assist with tracking of budget expenditures, i.e., purchasing, billing, travel expenses, etc.
  • Coordinate new employee workstation setup and onboarding. May provide training and coordinate work for new employees and admins.
  • Use and understand Microsoft Office Suite, Delta View, and other business-specific software, including the Corporate Travel Web site, and employee performance management systems (as applicable).
  • Responsible for compliance with applicable Corporate and Divisional Policies and Procedures including following purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable).
  • Perform other professional responsibilities as assigned.


  • High School diploma or GED is required. Some college preferred.
  • Minimum 1+ years of experience as an Administrative Assistant or Office Admin Assistant or equivalent, related experience.
  • Excellent organizational, interpersonal, presentation, and communication skills with the ability to multi-task and navigate through changing priorities when needed.
  • Ability to work with general instruction and limited supervision. Understanding of business processes and requirements.
  • Working knowledge of Microsoft Office Suite, Delta View, Adobe Acrobat, Visio or OrgPlus, and Lotus Notes or Outlook is preferred.
