General Summary:

The Assistant Director is responsible for the day-to-day administrative tasks in the Center.

This position provides a positive first impression for potential and existing customers, fields calls from customers, and schedules appointments. This position may include helping with monitoring student performance, meeting regularly with families, and connecting with schoolteachers to help ensure the application of skills learned in the classroom. When the Center Director is unavailable or not in the Center, this position may serve as the point of contact for customers and will oversee Center operations. Communication with the

Center Director required daily to ensure quality and consistency of the customer experience. This position requires evening and weekend availability.

Essential Job Functions

  • Handles the day-to-day administrative tasks such as phone reception, word processing, data entry, filing, and other tasks as needed.
  • Greets and assists students, parents, and potential customers according to Sylvan standards.
  • Ensures timely and high-quality personal customer service response to all calls and walk-in inquiries; ensures calls get answered during business hours.
  • Assists Center Director with other day to day tasks of running the Center including the appearance of the Center.
  • Supports standards and procedures to ensure student safety and well-being. Checks students in and out of the Center with particular attention to student safety and well-being.
  • Assist teachers with preparation for instruction; gather and prepare materials, as appropriate; and help teachers as needed throughout the instructional period.
  • Helps with conference activities, including preparing conference materials and ensuring notes are added to customer records.
  • May help with sales and marketing material for local advertising.
  • Manages and delivers assessments as needed for incoming customers and existing customers according to Sylvan standards.
  • Establishes and maintains collaborative relationships with teachers, customers and general public.
  • Maintains Center Motivation Station and orders materials on a monthly basis.
  • Inventory and ordering of office supplies, as needed.

Knowledge Required

  • Associate degree or higher preferred.
  • Minimum of one year’s experience in an office setting and/or in an educational setting.
  • Interest in or knowledge of current educational practices.
  • Familiarity with technology including iPads and Microsoft Suite Software.
  • Experience with social media (Facebook, Instagram, etc.).

Skills and Abilities Required

  • Strong customer service and communication skills. Outgoing, people-oriented approach preferred.
  • Ability to communicate effectively in writing; ability to proofread and edit copy. ·
  • Strong organizational skills; proven ability to manage multiple tasks and be flexible.
  • Ability to occasionally lift and/or move up to 25 pounds.
  • Ability to engage, motivate, and inspire students to learn.

This position reports to the Center Director. There is opportunity for advancement.
