Job Summary/Basic Function
The Assistant Registrar of Transfer Services is responsible for transfer evaluation and enrollment of incoming students. This position will maintain all transfer equivalencies and oversee all aspects of the transfer process, credit evaluations, course schedule, and enrollment. This position is responsible for all activities related to transfer evaluation. The Assistant Registrar of Transfer Services works under minimal direction evaluating transcripts and assisting students and the academic community on the transfer of credit for undergraduate students. This position reports directly to the University Registrar and works closely with clerical staff providing evaluations, support for transfer credit issues, and general oversight in ensuring well-organized and timely processing. This position will also evaluate military transcripts. Other tasks will include the evaluation and posting of AP and CLEP Credit, maintenance of equivalencies, and overall support as needed for transfer services occurring in other University departments.

Annual Salary: $51,306.00 plus comprehensive benefits starting on the first day of employment, including:
  • Health insurance – Low bi-weekly premium. Employees pay 5% of bi-weekly salary for benefit coverage with ability to pay 2.5% when participating in the wellness program.
  • Dental insurance – Coverage is free to employee and dependents after 90 days
  • Vision insurance – Coverage is free to employee and dependents after 90 days.
  • Group life insurance - equal to annual salary (up to $50,000) at no cost to the employee

Required Qualifications
  • Bachelor’s Degree.
  • 2 years of experience working in higher education.
  • Experience with college transfer services.
  • Familiarity with higher education information systems and/or customer relationship management (CRM) and reporting software (i.e., Banner, Peoplesoft, Technolutions Slate).
  • Excellent oral, written, interpersonal communication skills.
  • Proficiency in Microsoft Office including Word, Excel, PowerPoint, Outlook.
  • Ability to work with students of diverse cultures, racial and ethnic groups.
  • Effective oral, written, and interpersonal communication skills.

Preferred Qualifications
  • Master’s Degree.
  • 3 years of experience working in a high paced higher education administrative office, ex. Admissions, Registrar, Transfer Services, Records etc.
  • Experience managing a caseload of student records.
  • Experience coordinating with multiple higher ed offices and stakeholders.
  • Familiarity with Slate and or Ellucian Banner.
  • Bilingual, English and Spanish.

Job Description
  • Review transcripts, third party evaluations, and other documents presenting academic credit for authenticity and verification of appropriate college level credit.
  • Evaluate transfer credit for all admitted and matriculated undergraduate students including advanced placement (AP) International Baccalaureate, dual enrollment, Military credit based on ACE evaluations, and any other form of prior learning presented.
  • Grant course credit based on pre-determined equivalencies, third party evaluation, or subject level credit when appropriate.
  • Assist in the posting of this credit as needed to insure timely communication of evaluations to students, the Office of Admissions. advisors, and department chairs.
  • Assist other staff in answering questions pertaining to how credit was evaluated and/or transferred.
  • Respond to student inquiries and meets with students as needed regarding transfer of credit.
  • Review transfer data for duplicated courses and evaluate best placement of courses to complete graduation requirements.
  • Work closely with the International Admissions Recruiter in developing timely and efficient processes to support the timely evaluation of international transfer students.
  • Evaluate any US-earned transfer work for international students.
  • Work closely with academic departments in obtaining course equivalencies and maintaining those equivalencies in BANNER, on the web and other appropriate places for faculty, student, and staff use.
  • Data steward for submissions to PASSHE and PA Department of Education that pertain to student transfer data; responsible for discovering and coordinating the effort to correct errors in data prior to and after submissions to PASSHE and PDE and other regulatory bodies.
  • Manage the review of all internal requests by matriculated students for permission to take courses at other institutions.
  • Participate in transfer orientation days, including providing presentations and answering questions regarding transfer credit policies, processes, and/or individual transfer credit evaluations.
  • Receive and respond to the needs of customers (faculty, staff, students, parents, external agencies, etc.) by telephone, email and/or in person in a timely, professional, courteous manner regarding Registrar and other student service issues.
  • Counsel prospective transfer students and applicants on transfer credit policies. Identify incoming transfer students who have not registered for the current term and inactivate their records.
  • Assist Registrar with commencement activities as needed.
  • Responsible for creating and maintaining publications pertaining to areas of responsibility.
  • Serve on various university committees as assigned.
  • Perform other duties as assigned by the Registrar and/or as needed to provide excellent customer service and meet the needs of the Registrar’s Office, Registrar’s staff, and the University.
  • Coordinate compliance with Act 76 and other governing legislation regarding reporting.
  • Register students participating in the Franklin and Marshall College exchange program. Create an admission record for any F&M student who is not in the Banner system.
  • Coordinate and monitor incoming and outgoing students that are utilizing the PASSHE Visiting Student program; verify anticipated course articulation of MU students using the program; work with and supervise the Registration Assistant on the registration of students taking courses at Millersville through the program. Promote Millersville University in a professional and ethical manner.
  • All other duties as assigned.
