Job Description Summary:
Performs administrative duties to support the Executive Director, Assistant Executive Director and the Board of Regents Office.

Responsibilities:
  • Manage BOR Annex (assistant building proctor) (includes assisting with key control/access).
  • Assist with BOR meetings including review of agenda items, indexing, compilation & distribution of agenda materials (electronic & paper copies).
  • Prepare draft scripts, meeting notices & agenda for BOR committees.
  • Responsible for teleconference data system during telephonic BOR meetings & BOR office teleconferences.
  • Board and Board committee meeting logistics (computer set-up, livestreaming, directing visitors & meeting participants).
  • Responsible for coordinating BOR special events (receptions, dinners, Kyle Field suite, tickets, etc.) (design content generation, run of show, programs, remarks, electronic & print communication, site coordination, logistics).
  • Supervise Manager, BOR Operations.
  • Travel arrangements for regents & guests for BOR meetings, regent site visitation and special events (includes scheduling & transportation details).
  • Prepare itineraries for Regents.
  • Oversee and manage campus tours.
  • Alternate property manager.
- Serve as backup - post meeting materials, minutes and regent bios to website.
  • Maintain the history of art & artifacts housed in BOR Annex (conduct Annex tours).
  • Other duties as assigned.

Education and Experience:
  • Bachelor's degree or equivalent combination of education and experience.
  • Seven years professional administrative experience, including some supervisory experience.

Knowledge, Skills and Abilities:
  • Excellent leadership, independent judgement and decision making ability.
  • Excellent verbal and written communication skills.
  • Strong public relations and organizational skills.
  • Advanced skills in word processing, spreadsheet, database and other software.
  • Ability to handle confidential and time sensitive issues.
  • Work evenings, special events, commencements and home football game weekends.
  • Ability to multi-task and work cooperatively with others.
