UVU is currently seeking an Assistant for the Workforce Planning department within People and Culture (previously Human Resources). This position will provide administrative support such as preparing and tracking correspondence, filing, and maintaining employee records, scheduling appointments and meetings and assisting employees when needed. This position will also assist in talent management administration as well as health and wellbeing programs across campus.

Summary of Responsibilities

  • Assists in preparing and tracking requested federal leave, employee injury, accommodations and long-term disability paperwork as well as follow up with employees regarding federal and policy deadlines.
  • Acts as the first point of contact assisting employees with general questions, form processing, and paperwork documentation. Scheduling team member appointments and directing employees to subject matter experts when appropriate.
  • Provides general administrative duties to the university’s talent management such as assistance with the applicant tracking system, offering guidance to hiring committees across campus regarding recruitment processes, policies and procedures and hiring documentation.
  • Assists in the daily functions of the health and wellbeing of university employees. Including work related injuries, the university’s Employee Wellness incentive program and leave administration.
  • Assist with organizing, marketing, and publicizing employment events

Minimum Qualifications

High school diploma or GED equivalent and a minimum of two years of administrative office experience related to the summary of duties.

Knowledge, Skill, and Abilities

Knowledge

  • Knowledge of workforce planning definitions and terms.
  • Knowledge of office methods, techniques, practices, and procedures.
  • General Knowledge of the federal programs such as Family Medical Leave act (FMLA) and the Americans with Disabilities Act (ADA).
Skills
  • Skill in the use of computers and computer software applications, including MS Word, Excel, Access, PowerPoint, Publisher, and Outlook email.
  • Skill in organization, database management and coordination.
  • Skill in gathering data, compiling information, and preparing reports.
Abilities
  • Ability to interact with a diverse employee population in a professional manner and to communicate complex information verbally and in writing.
  • Ability to maintain confidentiality in accordance with HIPAA laws and regulations.
  • Ability to perform a variety of administrative support duties with minimum supervision.
  • Ability to gather data.
  • Ability to follow oral and written procedures and instructions.
