Amentum is currently seeking an Associate Subcontracts Administrator (ASCA) to support its International Development and Capacity Building (ID&CB) division to assist with the Global Anti-Terrorism Assistance (GATA) II program. This position is remote and successful candidate can work from anywhere within the United States. This is a regular, full-time position.
Job Description
While part of a team, the individual handles and tracks a high volume of invoices from subcontractors that are globally dispersed. Under close supervision, assists subcontracts administrators with the preparation of solicitation documentation for acquisitions in accordance with Federal and Corporate acquisition policies as may be appropriate for the procurement. Conducts market research to identify potential service providers. Assists in monitoring when bids are received and preparing documentation for cost/price proposal reviews. Maintains compliant file documentation for subcontract agreements. Monitors the submission and accuracy of subcontract deliverables. Maintains and updates subcontractors' files for internal and external audits. Learns subcontract standards, plans and policies.
Primary responsibilities include:

Review and resolve any vendor invoice discrepancies or mismatches, upload the invoices for payment, then assist in the closeout process once vendor payment is complete. Ensure all supplier invoices are in accordance with the purchase order terms and conditions.

Work with Supplier Management using various Amentum forms to setup new vendors or Independent Consultants (IC) within our system. Work with Supplier Management to update existing vendor or IC information.

Conduct routine auditing of operations files to ensure compliance with Amentum and customer policies and procedures.

Ensure that the associated records and information within the procure to pay cycle are accurate, complete, and up to date.

Ensure the receipt, accuracy, and timeliness of subcontractor submitted documents.

Provide short-term coverage for traveling associates.

Under general supervision assist in the preparation and follow up of purchase orders.

Assist the Subcontracts Manager with various clerical tasks as appropriate.

Regularly communicate and interact with lead or manager, other procurement staff, functional peer groups, line organizations and suppliers.

Work on assignments that are of low to moderate complexity.

Prioritize workload and meet course deadlines.
Qualifications/Knowledge/Skills

Bachelor's degree in business administration, management, or related field.
AND/OR
-
1 year of experience related to the contracting environment, purchasing, or data entry.

A combination of education and experience may be considered to satisfy the above qualifications.

Basic knowledge and experience of business principles in procurement, contract law, and accounting is required.

Working knowledge of Federal Acquisition Regulations is desired.

Skills: Experience with Microsoft Office software to include Excel, Word, PowerPoint, and Outlook.

Costpoint, OnBase, and VPConnect experience is highly desired but not required.

Other: Travel to CONUS/OCONUS locations may be requested and may be to hostile and/or austere locations within the Middle East and/or Africa.
