Urology Associates (UA) in Nashville, TN, is seeking a self-motivated, positive, friendly face to join our Care Teams as a "Floater" Care Coordinator. Interested candidates for the Care Coordinator position should be able to multi-task with a smile. This position works closely with a medical provider and a Clinical Assistant to form a Care Team, has direct interaction with patients daily, schedules surgery, obtains authorization, obtains benefits, returns phone calls, etc.

Qualifications:

  • 1-2 years or more of surgery scheduling experience is preferred (but not required)
  • Experience in urology is preferred (but not required)

General Summary: The Care Coordinator, a non-exempt position, is responsible for the non-clinical functions of the Care Team, works in conjunction with the Physician and the M.A. to provide an efficient and high quality care experience for the patient.

Essential Job Responsibilities:

  • Schedules all office appointments.
  • Schedules all surgeries.
  • Obtains and inputs patient demographics and basic payer information into computer system; updates information as necessary when booking appointments.
  • Obtains referrals & authorizations for surgeries and office-based procedures as necessary.
  • Scans into EHR patient paperwork, including lab, CT, X-ray and pathology results, correspondence, outside records and other documents as necessary.
  • Handles telephone calls for physician; takes messages as necessary, and prioritizes urgent calls appropriately.
  • Handles telephone calls for physician and M.A. when in clinic; takes messages as necessary, and prioritizes urgent calls appropriately.
  • Sorts-routes-electronically files incoming correspondence and patient records.
  • Acts as liaison for physician’s primary referrers.

Education: High School diploma.

Experience: Minimum one year of experience in surgery scheduling in a medical practice or hospital setting.

Performance Requirements:

Knowledge:

  • Knowledge of the medical practice protocols related to scheduling patient appointments and scheduling surgery.
  • Knowledge of both manual and computerized scheduling systems.
  • Knowledge of customer service principles and techniques.

Skills:

  • Skill in communicating effectively with physicians/clinicians about scheduling preferences.
  • Skill in maintaining master appointment schedule on computer.
  • Skills in communicating effectively with patients, making them feel comfortable and welcome within the practice.

Abilities:

  • Ability to multi-task effectively, dealing pleasantly and efficiently with multiple phone calls, in-office patients, staff, physicians and others.
  • Ability to troubleshoot situations and respond appropriately.
  • Ability to communicate calmly and clearly with patients about their appointments or surgeries in all circumstances, including when they are ill or have an emergency.
  • Ability to work not only as an effective member of their individual Care Team but as a member of the group of Care Coordinators within the practice.

Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, scanners, telephones, etc.

Mental/Physical Requirements: Mostly sedentary with some standing, walking, or reaching. Involves daily and repetitive data entry and periodic stress from the high volume of patient calls/requests.
