Certifications Coordinators prepares certifications & invoices for customers based on their needs and communicate with courier companies to provide the most efficient shipping route. The Certifications Coordinator is expected to increase product performance, improve customer service performance, and increase on-time delivery.
Essential Functions
- Communicate with clients and shippers and resolve any complaints.
- Keep a meticulous record of shipment information.
- Prepare documents, such as bills of lading and shipping orders to route materials.
- Record shipment data, such as weight, charges, space availability, and damages and discrepancies, for reporting, accounting, and recordkeeping purposes.
- Determine shipping method for materials, using knowledge of shipping procedures, routes, and rates.
- Contact carrier representative to make arrangements and to issue instructions for shipping and delivery of materials.
- Assist on the floor when/as needed.
- Working with database software for document retrieval.
- Preparation of official documents/certifications that may include the reading and understanding of the following: material specifications, drawings, work/job travelers, customer purchase orders, or other related documents which define requirements for material acceptance.
- Maintain a high level of accuracy when preparing official documents/certifications.
- Respond to customer requests for document/certification attachment and correction.

- Examine contents and compare with records, such as manifests, invoices, or orders, to verify accuracy of incoming or outgoing shipment.
Qualifications
- High School Diploma or GED
- Must have at least 1 years of experience in Shipping & Data Entry.
- Ability to act competently in emergencies
- Proficient math skills required to the essential functions.
- Experience with Made2Manage a plus.
- Quality and safety focused.

- Self-starter with ability to multi-task and prioritize work day/projects independently
- Strong interpersonal and communication skills, including in employee’s written words.
- Basic computer knowledge.

Physical Requirements and Environmental Conditions
- Prolonged periods sitting at a desk and working on a computer for 8 hours or more.
- Required to wear proper Personal Protective Equipment (PPE) when entering the Warehouse/SHOP
- Noise level is usually low to moderate. Must be able to work in low to moderate noisy environments.
- Fast-paced environment, subject to numerous schedule and priority changes and short notice activity.
- Must be able to lift up to 30 pounds at times.
- Position requires reaching, bending, stooping, and handling objects with hands and/or fingers to utilize the computer, talking and/or hearing, and seeing.
Work Schedule
- Monday – Friday, 9:00 am – 5:30 pm, with minimum required 30-minute lunch break. Ability to work overtime is required.
