About the Role: Client Service Representative
The Client Service Representative position is an exciting opportunity to join a fast-growing team, collaborating with our lead Financial Advisors to guide our clients toward achieving their short and long-term financial goals. The ideal candidate will have a keen attention to detail, be organized, and excel at communicating with clients. The Client Service Representative is responsible for day-to-day operational duties, helps to keep the office running smoothly, and ensures that all client paperwork and processing is handled in a timely, accurate, and professional manner. Additionally, the Client Service Representative is instrumental in making sure clients have a positive experience.
Responsibilities
· Greets clients and prospective clients in a friendly and sincere manner, making them feel comfortable when they visit the office.
· Ensure reception area, waiting room, conference room, and pantry are tidy and presentable, with all necessary stationery and materials (e.g. pens, forms)
· Orders and handles office supplies.
· Handles calendars for the Wealth Advisor(s) and others in the office
· Sorts, distributes and logs mail correspondence
· Handles incoming telephone calls
· Maintain electronic and paper filing systems for the organization
· Provide direct client support and requests
· Coordinates the assembly and mailing of client paperwork
· Processes new accounts and account maintenance requests
· Processes new contributions and redemptions
· Sends periodic client correspondence
· Provides user interface support for clients to access their personal online portal
· Maintains and tracks client/account/company information using Excel
Qualifications
· Associate’s degree or 2 years of relevant client service/administrative experience
· Detail-oriented, organized, good time-management, client-service oriented individual
· Ability to multitask within provided timelines
· Client-facing: interpersonal skills, strong communication skills via phone, email and in-person
· Industry-relevant experience is a plus but not a requirement
