Overview:

The ideal candidate should be personable, very familiar with the island, mature, responsible, well organized, detail oriented. Prior hotel experience is not required but would be helpful. The ideal candidate should have strong Microsoft Office skills including: Word, PowerPoint, Excel. Familiarity with PMS Systems and/or graphic design software a plus but not required.

Role
  • The Concierge plays a key role in the resort’s ability to achieve the highest possible levels of guest satisfaction with free range to make informed decisions for our guests ensuring a world-class experience.
  • The Concierge assists guests in taking advantage of on-property amenities and activities as well as with their off-property itineraries by designing and coordinating the creative pieces used to clearly outline our hotel, restaurant, and club offerings.
  • Initiates pre-calls with arriving guests ensuring that they are fully versed in our services.
Responsibilities:
Responsibilities
  • Responsible for all Concierge duties including but not limited to; Restaurant reservations, golf tee times, recreational boating, fishing, site seeing tours, lighthouse tours, and the most extensive possible list of other island activities that guests will typically want to experience.
  • Proactively paying special attention to VIP guests creating itineraries for their stays and building loyalty to our brand.
  • Tracking and maintaining accurate records and confirmations for such bookings.
  • Actively sells Breeze to all guests during pre-call, on arrival, and during all interactions.
  • Maintains all lobby, elevator, and porch signage.
  • Supports all departments in the initiation of on-boarding new hire documents and the filing and maintenance of our employee files.
  • Works with F&B Director on reservations for all special events, holiday meals, and festivals.
  • Exhibiting a professional demeanor at all times including maintaining a position of customer advocacy and conducting yourself professionally with resort staff.
  • Understanding that we are a small, seasonal business, the management team is often called upon to assist in areas that may not fall within the normally defined areas of this specific position. We expect that the management team members understand this and we work together as a team to achieve company goals.

Specific roles and responsibilities - Daily

  • Update electronic transportation log with future guest arrival information
  • Send e-blasts to arriving guests alerting them to operational changes (with an advanced warning for guests to make alternative plans)
  • Call all guests between 1-7 days before arrival to answer all their questions, sell amenities, obtain arrival info, clarify missing or contradictory reservation info, etc
  • Assure that all lobby, porch, and elevator signage is accurate
  • Pay attention to lobby traffic - if busy come out to the lobby to see if we can assist in any way
  • Keep whale filled with treats for guests (and staff) - mindful of costs
  • Review concierge book each morning for relevant notes on arriving guests and/or events - check off all "to do" tasks as they are completed
  • Engage guests as they pass the desk or enter the library area - offer proactive assistance - don’t wait for them to ask for help
  • Assist all guests with a plan for the day/week/visit
  • Assist guests with any reservations or tour/service booking (out of the hotel) - send all massage requests to club desk for booking
  • Assist all guests and callers with amenity / retail orders - bill properly and alert all relevant departments
  • Be sure all amenities are delivered before departing for the day
  • Partner with the GSM on verbally communicating all operational changes/VIPs etc. that impact guest experiences

As needed:

  • Send out eblasts to arriving guests with any operational changes or issues
  • Review menu books to assure we have current menus
  • Check DVD cases to be sure all are in right case and on the correct shelf - wind clock, maintain library and games, organize bookshelves in the library
  • Refill/reorganize island activity rack card chest
  • Re-print open restaurant list each week, maps, etc.
  • Reorder: nametags, coupons for - Affordable rental, tower climb, NRTA, hotel stationery, hotel note cards, send to Poets when Jamie is low to be re-printed
Qualifications:
  • Excellent time management and multi-tasking skills
  • Excellent communications skills
  • Warm and Friendly personality with a can-do attitude (in person and over the phone)
  • Excellent Microsoft Office skills (including: Word, PowerPoint, Excel)
  • Some graphic design skills
  • Very detailed oriented and proactive
  • Must be able to work some weekends and holidays
  • Works well under pressure while maintaining a warm and friendly demeanor
