Construction Administrative Assistant
We are seeking a highly organized and attentive Construction Administrative Assistant to join our team. In this role, you will be responsible for supporting our construction team and overseeing the administrative tasks that are associated with the construction process. The ideal candidate will have experience in the construction industry and administrative support.
Responsibilities:
- Provide administrative support to the construction team, including assisting with invoicing, budget tracking, project scheduling, and other tasks as assigned.
- Assist with the preparation of construction documentation and reports such as architechural plans, contracts, proposals, and change orders.
- Maintain accurate and well-organized project files, including contracts, drawings, specifications, and correspondence.
- Maintain regular communication with clients, vendors, and subcontractors to ensure that project schedules and budgets are met.
- Coordinate the procurement of materials and equipment, including tracking shipments and deliveries.
- Analyze and maintain construction costs and project budgets.
- Coordinate and attend meetings, both on-site and off-site, to discuss project status updates, planning, and construction progress.
- Assist with preparing and finalizing project closeout documentation, including warranties, manuals, punch lists, and as-built drawings.
Qualifications:
- High school diploma required; associate's or bachelor's degree preferred.
- Experience with AutoCAD software required
- 2+ years of experience in administrative support role for construction industry preferred.
- Knowledge of construction industry terminology and processes.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to multitask, prioritize and meet deadlines.
- Proficient in Microsoft Office and cloud-based project management software.
- Must be able to work well independently or as part of a team.
Job Type: Full-time
