Consumer Records Specialist Job at Boston Center for Independent Living
Position Summary: Works to ensure consistently high accuracy of consumer information and activities in the BCIL central file system and in the organization’s data management system. Maintains a centralized record/filing system for all BCIL programs in both office locations including physical and electronic files. Provides training and technical assistance to staff on file preparation and consumer data management system. Serves as quality assurance officer, running periodic audits, reporting to program managers on findings and helping to identify and implement remediation solutions to problems. Provides reasonable accessibility accommodation for staff related to file access. Provides general organizational administrative support including assisting with reception and phone coverage within BCIL offices as needed.

Responsibilities:
· Assist in setting up and maintaining a centralized consumer record system (hard files) for BCIL programs.
· Support efforts to ensure that files are maintained in compliance with standards established by the Administration for Community Living (ACL) and HIPAA compliance protocols and other BCIL funding sources.
· Assist members of the management team with quality assurance checks on paper files and entries into the organization database.
· Assist in providing reasonable accommodations to staff with visual or other disabilities relative to their consumer records; activities may include (but are not limited to) setting up physical files for consumers and assisting staff in filing and retrieving documents and/or folders as necessary.
· Receive signed intake documents sent to the BCIL office and notify BCIL staff members of receipt of such prior to filing.
· Process files identified for closure, preparing correspondence to consumers, and update status of consumer records in database as well as on consumer record tracking sheets.
· Periodically identify, box, and log inactive files following BCIL protocols for storage at offsite storage service.
· Provide ongoing support to staff around trouble shooting, reviewing and correcting errors/omissions in electronic consumer records database. Will run a variety of audit reports as necessary and assist with the remediation of discrepancies discovered in audits.
· Provide organizational support for consumer databases including setup and training of new staff, quality assurance, report generation and troubleshooting. May be asked to attend periodic meetings both in and out of the office related to consumer databases.
· Other responsibilities as assigned including providing general administrative support such as aiding with data entry, filing, mailing projects, and providing reception and phone coverage of the front desk at Temple Place or Dorchester Ave. offices.

· Strong computer skills, including accurate use of Microsoft Office products.
· Experience with Teams, OneDrive, and SharePoint.
· Experience working in databases and data collection programs.
· Creativity and ability to work as a member of a team.
· Ability to model clear professional boundaries, social skills, and work etiquette.
· Ability to travel between BCIL offices (driver’s license not required).
Equipment Operated:
Computers, copier, scanner, Microsoft Office, printer, and other office equipment/programs. Must be knowledgeable about and adept with use of mobile devices.
Working Environment:
Office area is a shared workspace divided by cubicles. Verbal communication can be heard from other staff in adjoining cubicles. This position requires a majority in-office presence with possible remote opportunities as appropriate.
Hours
40 hours – Full Time
Benefits:
· 2 weeks paid vacation (increases with length of service)

Salary: $42,000 - $45,000 depending upon experience
