Job Summary:
This person has primary responsibility of maintaining facilities contracts, POs, and the overall spend oversite listed below.
- Perform requisition duties in Ariba for the department.
- Manage Purchase Order spend by location and contract.
- Understand Hershey’s policies around PO’s and contracts.
- Assist management with service issues with vendors related to Po’s and contracts.
Role Responsibilities:
Using the Ariba System, input requisitions to multiple vendors. Work with Procurement on existing and new contracts. Be the point person for contract problems, payment processing, and vendor concerns. Utilize SAP to track payments. Utilize Excel to assist management in data around contracts and Po’s. Work with exterior partners; Derry Township, Milton Hershey Schools, and Hershey Entertainment and Resorts on collaborative efforts around the Hershey area. Derry Township land line phone representative.
Assist management in providing charts and graphs on utility spend. This includes gas, electric, water and sewer. Assist management in recommending new contracts, renewing old contracts, and recommending current contracts to go out for bid. Understand contract work outside of Hershey, Sales offices printer issues and land line phones.
Assist support services in moves related to land line phones. Keep track of how many phones, the current age of the phones, and how many are in the workplace. Perform and assist others on change order process on contracts. Assist others on set up of new Hershey vendors in the system.
Assist management as needed on data collection for all services. Assist and run presentations for Facilities Townhall meetings. Assist set up of meetings and technology for the town hall meetings. Order supplies for Hershey offices as needed.
Minimum knowledge, skills and abilities required to successfully perform major duties/responsibilities:
- Ability to carry out assigned tasks in a timely manner with minimum supervision.
- Walking/Standing for 4 hours.
- Ability to work in a fast paced and rapidly changing working environment.
- Knowledge in Sap, Ariba.
- Ability to understand and learn contract verbiage.
- Excellent written and verbal communication skills, especially the ability to work well with and relate to others within the department and at different levels within the organization. This includes various levels of internal and external people.
- Good computer skills, including the ability to use databases, create and sign off work orders, Microsoft Word, Excel and Outlook Software.
- Possess a valid PA Driver’s License and safe driving record.
- Ability to work with multiple people in a team environment.
- Must be able to work a flexible schedule.
