Job Description
The University of Nevada, Reno is accepting applications for a Coordinator of Residential Conference Operations. The Coordinator is under the direct supervision of the Assistant Director, Business Operations and Food Services and with input from management staff, is responsible for recruiting, planning, developing and oversight of all residential conferences hosted on the main campus and at Lake Tahoe.
This position coordinates departmental internal and external communication for groups applying for residential conference arrangements in on-campus housing, as well as all marketing, contract negotiation, compliance and management, reservations, invoice generation/billing, and collections efforts, as applicable. In addition, this position presents information about on-campus housing and dining opportunities at the main campus and Lake Tahoe to prospective clients. While overseeing residential conference operations, this position coordinates housing and meals for youth and adult summer conference group attendees, supervises paraprofessional, graduate, and full-time staff during the summer, and manages the linen program.
Conference Operations/Client Relations
  • Act as the primary point of contact for events and oversee planning and execution.
  • Ensure reservations are fully implemented, managing reservations and assisting with assignments.
  • Facilitate and lead weekly Conference Operations meetings – by articulating upcoming conference and conduct needs, performance issues, and special requests.
  • Communicate with internal and external stakeholders, clients, and students on a regular basis.
  • Manage contracts, reservations, and confirmation processes.
  • Create policies and procedures including the implementation of conference guidelines
  • Develop and maintain guidelines for event planning, best practices, and process improvements.
  • Research, recruit, and secure vendors.
  • Create event budgets, in consultation with the Assistant Director, Business Operations and Food Services
  • Ensure room assignment information and group info forms are sent to clients prior to their arrival.
  • Manage front desk operations for the residential conferences, coordinating with peers when applicable.
  • Create event and budget reports to reflect the impact to the department and university.
Staff Oversight
  • Design and implement a comprehensive training program for summer conference student staff in conjunction with other staff members responsible for training coordination/development.
  • Collaborate with Assignments team to assign rooms to groups, coordinating group check-in and check-out, incorporating customer service for all groups.
  • Communicate directly with group leaders as needed in Assistant Directors absence.
  • Directly supervise, schedule, assign work, support, evaluate, and hold accountable summer conference student staff.
  • Coordinate recruitment and selection process of summer conference student staff in line with the department’s Commitment to Equity Statement.
Outreach and Orientation Efforts
  • Collaborate closely with Coordinator of Marketing and Outreach to support orientation efforts hosted through New Student Initiatives.
  • Oversee the assignment of conferences such that conference operations will not interfere with prospective students and their families/supporters touring as many residence halls as possible during orientation sessions.
  • Provide staff & linen service for overnight orientation sessions.
  • Serve as a back-up to the Coordinator for Marketing and Outreach related to orientation oversight.
Required Qualifications
Bachelor’s Degree and two (2) years of related work experience OR
Master’s Degree and one (1) year of related work experience
Related Experience: Student housing/residential life, marketing, outreach, hospitality/conference operations or comparable higher education experience.
Certification and Licensure
Must possess, or obtain within 60 days of hire, a valid Nevada driver’s license and meet all State of Nevada requirements to operate State/University vehicles.
Schedule or Travel Requirements
This position maintains full-time office hours to include evening/weekend hours for potential conference marketing events and staff training.
This position will be expected to travel to Lake Tahoe and potential conference marketing events.
Compensation Grade
Administrative Faculty – B
