JOB TITLE:
Data Control Specialist

JOB PURPOSE:
Manage processes and maintain all biographical data in the Foundation databases, in which all donor, alumni, staff, student and constituent information is permanently recorded for the use of the UW Foundation and the University of Wyoming according to Foundation and industry data management standards. Maintain some process of internal departmental databases.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Ensure that backup information on all database changes is appropriately maintained and/or scanned into the OnBase electronic documentation system.

Maintain data integrity within internal databases and systems as requested, conducting data clean-up as needed.

Identify data that may need additional verification and work closely with others to assure the accuracy of constituent information.

Use varied software tools with a high level of competence: such as Advance, AlumniFinder, Access, Excel, OnBase, MS Office, Windows, SQL Developer, SharePoint, and other software.

Meet demanding and conflicting deadlines, prioritize multiple projects.

Maintain strict confidentiality of all information accessed and managed and apply a working knowledge of regulations and standards regarding confidential data.

Create and maintain a policies and procedures manual regarding biographical management of the Foundation database systems.

Develop integrity reports to assure accuracy, consistency, completeness, and standardization of constituent data.

Assist in developing mass additions, updates, and global changes to the database regarding constituent records.

Serve as a resource to provide an in-depth understanding of the constituent database information.

Identify controls and compliance metrics to reduce data issues and improve data quality.

Use database reporting tools to query databases and to troubleshoot data integrity issues.

Create and implement a biographical data integrity users group whose purpose is to coordinate and address data integrity issues, data consistency, continuous improvement opportunities, policies, and procedures.

Work with peer institutions to survey, benchmark, and to identify third party vendor biographical information to append to the Foundation database.

Work professionally, effectively, and collaboratively with donors, friends, alumni, Foundation leadership and management, other teams to accomplish Foundation priorities and goals.

SUPPLEMENTAL FUNCTIONS:
As assigned, serve on special teams within the UW structure addressing IT needs and practices, assist

with special projects, serve as member of various committees within the Foundation structure when addressing special or ongoing needs. Position may encompass the supervision of student workers.

MINIMUM QUALIFICATIONS:
Education:
Bachelor’s degree

Experience:
1 year progressively responsible work-related experience

Required licensure, certification, registration or other requirements:

Develop and maintain accurate databases.
