The Deputy Recorder provides general and advanced support for internal or external customers following general procedures. Responsibilities may include performing data review and report compilation activities; preparing specific documentation and correspondence; purchasing supplies; conducting research to identify and compile related information; reviewing and maintain documents; processing file and applications; and answering phone, email, and in-person inquiries.
High School Diploma or GED and 1year of administrative support/clerical experience in a legal setting.
This is a largely sedentary role due to the nature of the position. Must occasionally lift and/or move up to 30 pounds, equipment and materials are regularly pulled, organized and moved from one location to another. Perform repetitive activities (calculating, keyboarding, and writing). While performing the duties of this job, the employee is frequently required to walk, sit and talk or hear. The employee is occasionally required to use hands to finger, handle, feel or operate objects, tools, or controls; and reach with hands and arms. The employee is occasionally required to stoop, kneel, or crouch. This position will regularly utilize standard office equipment such as computers, phones, photocopiers, scanners, filing systems and fax machines. At times, this may require the ability to lift files, open filing cabinets and bend or stand as necessary. While performing the duties of this class, the incumbent is regularly required to use written and oral communication skills; read and interpret data, information and documents; analyze and solve complex problems; use math and mathematical reasoning; perform highly detailed work under changing, intensive deadlines, on multiple concurrent tasks; work with constant interruptions; and interact with officials and the public.
- Assisting customers in person, on the phone, or by email with questions about the recording of documents or with specific documents.
- Collects fees for copies/recording from customers and balances the daily receipts
- Opens the daily mail and calculates the recording fee for each document
- Proofreads, corrects, and returns documents
- Scans and Indexes documents
- Receipts in documents
- Maintains the books in the vault
- Preserves land records
- Reviews Microfilm
- Processes and approve passport applications
- Processes, approves and enters marriage license information into specialized programs through the State of North Dakota
- Provides record searches and copies to agencies and individuals upon request
