The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
This position will report to the Executive Director of Major Gifts for the Arts & Sciences. The incumbent works collaboratively to provide administrative and clerical support for the designated officer and other fundraisers as needed.
Responsibilities
Responsibilities include, but are not limited to, the following:
Conduct research to support major gift efforts of designated officer.
Prepare reports and financial gifts summaries.
Assist with donor prospect screening and background investigation.
Enter contact reports and pertinent data in BSR Advance.
Draft correspondence and maintain electronic folder of commonly used letters.
Participate in event planning and assist in implementation of Arts & Sciences related events.
Prepare promotional materials and invitations.
Provide telephone coverage support on a shared basis in collaboration with other assistants, directing phone calls to the appropriate employee, unit, or department.
Maintain logistics of operations, including travel arrangements, venue bookings, and catering arrangements, as well as interacting with vendors.
Process expenditure reports for reimbursements.
Greet and receive guests who are traveling to our office to participate in meetings and events.
Responsible for arrangements for gatherings such as conferences, seminars, staff, or task force meetings within and outside of the University.
Implement and maintain appropriate filing system.
Provide backup administrative support for other officers in the absence of their assistant or when additional support is required on a team project assignment.
Some overtime as needed.
Perform other related duties as required.
Minimum Qualifications
High School Diploma or its equivalent is required. A minimum of three (3) years of related experience, or the equivalent combination of education and experience, is required. Knowledge of the Microsoft Office suite is required. Strong interpersonal, organizational, and computer skills, including web-based applications required.
The availability to work some overtime is required.
Must be detail-oriented and use excellent independent judgment and initiative. Must exhibit a proactive customer service attitude when interacting with vendors, office staff, and university colleagues from other departments. The incumbent must have the ability to relate well to all levels of University personnel; project willingness to perform related duties as required. Excellent written and verbal communication skills are essential. Must be dependable, customer-focused, and results-oriented, with the ability to work independently and collaboratively as a team member. Must have the ability to work well under pressure, have a passion for excellent customer service, and have a commitment to exceptional quality.
Preferred Qualifications
Familiarity with Athena, Columbia University's donor's database system is preferred. Prior experience in an academic setting preferred. College degree strongly preferred.
