SUMMARY:
The Director of Residences at The Madeline develops close relationships with residence owners, homeowners association, and hotel team members in order to effectively and efficiently oversee all residence matters within the Community. Creatively works with the hotel team and third party service providers to deliver unique, brand appropriate experiences and services to each residence owner. Directs the Residence Management Program and oversees the adherence to all provisions within the governing documents.

CORE RESPONSIBILITIES
Strategic.
Collaborate with the Area HOA Controller to create an HOA budget.
Collaborates with the HOA Board President and Board Members to ensure the smooth operation of the residential community and that adherence to the governing documents is maintained.
As appropriate, raises homeowner issues and complaints to the HOA board to request needed action by the board. (ie warning notice to members, compliance with community rules and regulations)
Work with homeowners and their outside sales teams to coordinate resale process.
Collaborate with the marketing team on articulation of branding for all presentations, site visits and tours.
Maintain strategy for homeowner rental program. (Accounting and administration of rental program is the responsibility of the Residence Service Manager)
Develop staffing needs for services provided to Residences.
Plan and execute resident exclusive events and activities.
Create process and procedure for Homeowner orientation.
Perform other duties and handle projects as assigned by the General Manager.
Sales & Marketing
Work with real estate and hotel teams to optimize branded services, amenities and facilities.
Meet with prospective residence owners and effectively communicate the unique propositions of the Residence Management Program.
Coordinate all post-closing activities including residence renovation or fit-out approvals, move-in
logistics, establishment of service accounts, etc.
Provide a brand appropriate orientation to each residence owner.
Operations
Lead and coordinate the day-to-day operations of the residences.
Attend weekly Operations meetings to discuss operational challenges, opportunities and to improve or maintain an excellent communication flow.
Responsible for the supervision and training of the Resident Services Manager.
Ability to develop, with the aid of key personnel, strategies and programs to ensure attainment of the residential goals and objectives.
Orient team members on the basics of the residential program, services offered, and owner preferences.
Ability to prepare and implement comprehensive owner services and amenity plans and programs.
Review and sign all purchase requests/orders to ensure adherence to corporate purchasing procedures.
Act as the main contact for all residence owner issues, concerns and requests.
Coordinate hotel and third party service providers to ensure consistent brand standards, adherence to the HOA budget, and the residence owner’s service needs and expectations are adequately satisfied.
Ensure the facility is well maintained with respect to Housekeeping and Engineering.
Oversee preventative maintenance program for residential areas and individual residential units, including involvement in preparation and execution of capital expenditure/reserve study plan.
Governance
Communicate with owners regarding their entitlements as it relates to their specific ownership and legal agreements in order to enhance their experience.
Demonstrate an understanding of all legal agreements pertaining to the operation of the residences and HOA.
Master the allocation methods, budget process and financial reporting obligations, with the
assistance of the Area HOA Controller.
Responsible for the coordination of annual meetings, board meetings, and other committee or special meetings as per the requirements of the governing documents.
Maintain proper notification of meetings, agenda items, and minutes for each meeting as required by the documents.
Maintain records for the Homeowners Association, including meeting minutes, insurance certificates, unit management agreements, and other necessary documents to ensure compliance with governing documents and HOA record keeping.
Finance
Work with the Finance team to ensure timely delivery of all financial reporting.
Collaborate with the Area HOA Finance Controller to create an HOA budget.
Conduct financial reviews with HOA as required.
Ensure proper allocation of labor and other costs to HOA.
Control monthly expenses based on HOA budget and address any variances.
Manage the preparation of monthly, quarterly and annual residence services financial reports.
Participate, with the Area HOA Finance Controller, in the preparation of monthly, quarterly and annual residence management program financial reports, and owner statements, invoices, and association statements.
Work directly with each department to ensure timely and accurate billing of operational charges and assessments.
Monitor and review the daily labor report and the monthly profit and loss statement of HOA, analyze results and take action when necessary.
Control all capital and reserve fund expenditures and ensure the proper guidelines are adhered to and projects are completed on a timely basis.
Work with Finance to ensure that individual owner monthly statements are accurate and timely and followup is done for any delinquent HOA dues or fees.
EXPERIENCE
Hotel / Residential Operations or Management, Accounting/Financial Management – Business Management – Building Management.
Preference of 5 years of progressive luxury residential management experience.
Competent in understanding and interpreting accounting and financial controls as they relate to all aspects of Residential operations.
PHYSICAL DEMANDS
Most work tasks are performed indoors. Temperature is moderate and controlled by hotel environmental systems.
Must be able to sit at a desk for up to 5 hours per day. Walking and standing are required the rest of the working day. This may include traveling to and from meetings. Length of time of these tasks may vary from day to day and task to task.
Must be able to exert a well-paced ability to reach other departments of the hotel on a timely basis.
Must be able to lift up to 25 lbs. Occasionally.
Must have finger dexterity to be able to operate office equipment such as computers, printers, 10-key adding machine, electric typewriter, multi-line touch tone phone, filing cabinets, FAX machines, photocopiers, dolly and other office equipment as needed.
SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES
Strong verbal and written communication skills.
Strong business and financial acumen.
Strong organizational skills and attention to detail.
Working knowledge of Microsoft Software Programs to include Excel, Word, PowerPoint, O.R., and Opera.
Knowledge of computer accounting programs, math skills as well as budgetary analysis capabilities required.
Must be able to perform a variety of duties and multi-task.
Ability to be resourceful, creative and maintain flexibility.
Analytical and negotiation skills required.
Ability to learn and absorb information that may be unique to the residential arena and different from past occupancy experience.
Work in an ever changing, time sensitive environment.
Ability to deal with in a professional manner at all times.
