Job Overview
Davies US is looking for an Events Coordinator to manage, plan, and execute all aspects of the event planning process. Reporting to the Events and Partnerships Manager, you will contact multiple stakeholders, act on feedback given, and coordinate, organize, research, and analyze various aspects associated with the planning of multiple event projects. You will research vendors and venues, organize and review vendor contracts, prepare event logistics, and be present at events to coordinate and manager the set up and tear down of events. To be successful in this role, you need to possess excellent planning skills, superb organizational skills, be able to communicate well with a wide range of stakeholders while keeping speed with the fast-paced environment. You need to be highly motivated, enthusiastic, and ready spring into action. You will be required to work in a hybrid role between the Nashville, TN office and remotely from your residency as well as be able to travel on occasion, up to 20% of the time for event support.
Responsibilities and Duties
- Manage, plan, and execute all aspects of the event planning process
- Research vendors and venues
- Organize and review vendor contracts
- Coordinate the planning of multiple events at any given time
- Preparation of event logistics
- Organize event overview and information pack for attendees within Davies
- Be present on site where required to coordinate and manage the set up and tear down of events
- Serve as the first point of contact at events
- Communicate with colleagues across the global team to ensure the events calendar is up to date and tasks for each event are on track and completed within deadlines
- Liaise with the business development team and marketing managers to ensure the
necessary marketing materials per each event are prepared - Utilize hospitality management and problem-solving to resolve any real-time issues that might arise the day of an event such as adjusting the timing of the next item due to a schedule conflict
- As a team, deliver successful events while ensuring event attendees are satisfied
- Work with marketing managers to develop pre and post event campaigns to maximize ROI on
events - Other duties or projects as assigned
Experience and Qualifications
Required
- 2 years of experience as an Events Coordinator or Events Assistant
- Associates degree in Marketing, Communications, Business Administration, or other related fields
- Proficiency in Microsoft Office Suite
Preferred
- Bachelor’s degree in Marketing, Communications, Business Administration, or other related fields
- Experience in the professional services sector beneficial

Essential Requirements
- Must have US work rights
- Willing to travel up to 20% of the time, about 3 to 4 days a month

Work Environment and Physical Demands
This role operates from a professional office setting and a professional home-based office environment routinely using standard office equipment such as computers, phones, printers, photocopiers, and scanners and requires prolonged periods of sitting at a desk while working on a computer. While performing the duties of this job, the individual will be required to regularly hear and talk. This is a largely sedentary role requiring the ability to sit at a desk, reach outward, use a phone, have use of fingers to operate office equipment such as a keyboard, mouse, phone, printer, copier, and to reach above the head, bend, or stand as necessary.
Position Type and Expected Hours of Work
This is a full time, hourly, non-exempt position. The standard days and hours of work are Monday through Friday from 8:00 AM to 5:00 PM local time.
