About You:

  • The Executive Assistant must be creative, self motivated, highly organized, enjoy working within a large scaling, entrepreneurial environment that is mission-driven, results-driven, and collaborative-oriented.

  • You must have previously demonstrated the ability to exercise good judgment and discretion in a variety of situations, while upholding a high level of confidentiality.

  • The Executive Assistant will have the ability to work independently to ensure projects are delivered on time with a high level of accuracy and credibility.

  • You have excellent written and verbal communication skills, strong administrative and organizational abilities, and are an expert in maintaining balance among multiple shifting priorities to effectively manage the time of the CEO and your own time.

  • Demonstrated agility to ramp up as we continue to grow.

Essential Job Functions:

  • Demonstrated ability to conserve the C-Suite’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating communication when applicable.

  • Represent the executive by attending meetings in the executive’s absence and speaking for the executive.

  • Demonstrate a high level of integrity, professionalism, and discretion in handling confidential information.

  • Provide executive support in a one-on-one working relationship within the executive team, working on scheduling, email correspondence, preparation for media appearances, and ensuring administrative tasks are completed.

  • Serve as a liaison to the Board of Directors, fostering positive relationships with board members and communicating with grace and diplomacy.;

  • Organize and coordinate executive outreach and work with the operations manager on special projects.

  • Managing the day-to-day operations of the executive office in a remote environment and in-person when appropriate.

  • Prepare the CEO in advance for all meetings and presentations.

  • Organize and maintain digital documents and and records.

  • Schedule and coordinate virtual and in-person meetings of executive teams, functional teams, the Board of Directors, etc.

  • Prepare and edit correspondence, reports, presentations, and presentations.

  • Make travel arrangements.

  • Support functional unit leads when applicable.

Qualifications:

  • 5+ years preferred

  • Excellent written and verbal communication skills

  • Scheduling/calendar management abilities

  • Ability to perform and concisely present in-depth research

  • Expert time-management capabilities

  • Working in a professional environment

  • Expertise with Slack, Asana, Google Workspace,

  • Ability to support employees across multiple time zones

  • Able to pass an extensive background check
