Job Description

Location: This position reports to the District 4 Field Office in Council Bluffs, Iowa

Work Hours: 8:00 AM to 4:30 PM, Monday through Friday, hours may vary; some travel (primarily for training or meetings)

Travel: This position may require some overnight travel.

Executive Assistant Responsibilities:


  • Serves as principal assistant to the District Management Staff including but not limited to District Engineer, Assistant District Engineer, District Construction Engineer, and District Maintenance Manager
  • Plans, coordinates, and organizes office activities and flows of communications for the District Management Staff
  • Maintains confidentiality of privileged and sensitive information
  • Assists District Management Staff with hiring and onboarding processes
  • Supports District supervisory functions such as performance evaluations, staff actions, out of state travel requests, and processing system access
  • Develops, maintains, monitors, and tracks the formal agreements with other state agencies, other states, counties, municipalities, and Drainage Districts
  • Creates and maintains databases to be used for analysis, tracking, and monitoring a variety of business functions
  • Establishes and maintains vendor accounts for outside services for the district office.
  • Serves as the first contact with the public for inquiries on the services provided or assets that maintain
  • Operates computer programs such as WorkDay, Asset Works, Microsoft Office applications, and internally developed software programs

Minimum Qualification Requirements

Graduation from high school or GED equivalent and five years of experience in highway design, maintenance, construction or materials;

OR

an equivalent combination of education and experience substituting one year of administrative support experience in areas such as inventory management, training programs or administrative recordkeeping for each year of the required experience;

OR

employment experience may be substituted on a year for year basis for the required high school education;

OR

an equivalent combination of education and experience substituting one year of post high school course work (30 semester hours or equivalent) for each year of the required experience to a maximum substitution of four years;

OR

employees with current, continuous experience which included two years experience as Construction Technician 1, Engineering Office Assistant 1, or Materials Technician 3 will be considered as qualifying.
