Mendon Truck Leasing and Rental, a branch of PETIT FORESTIER GROUP, a full-service leasing and rental company and a leader in the refrigerated fleet Market, is searching for a full-time Executive Assistant to contribute to the efficiency of our business by providing personalized support primarily to our company CEO, but at times other Executives, in a timely and professional manner.

Reporting directly to the CEO, the successful candidate will maximize the Executive's time by identifying and addressing their various needs and support them in staying organized by managing their schedule, keeping up with correspondences, creating meeting collateral, project management support, acting as a point of contact for internal and external stakeholders and ensuring our workflow runs smoothly. To thrive in this role, you will have a can-do attitude, stay very flexible, be well-organized, have excellent time management skills, and be able to act with limited guidance. This role requires a high level of confidentiality and professionalism.

This position will work on-site at our US Headquarters in Greenpoint, Brooklyn. (Depending on the Executive's travel schedule, remote working may be periodically available. The need to travel to the company's other location in NYC/NJ with the CEO may be needed.)

Responsibilities:

  • Complete essential deliverables with a hands-on approach, including drafting and preparing acknowledgment notes, meeting minutes, personal correspondence, and other tasks enabling the CEO to lead the company effectively.
  • Lead and provide support to both internal and external parties with a high degree of professionalism and in a manner that reflects positively on the organization.
  • Act as the primary point of contact among executives, employees, and clients, screening and directing phone calls and emails to the appropriate departments.
  • Conserve the Executive's time by researching, reading, collecting, and analyzing information as needed.
  • Research, prioritize, and mitigate incoming issues that may arise, including those with sensitive or confidential nature.
  • Assist in organizing and executing presentations and decks.
  • Serve as a liaison to the Senior Management team and Board of Directors.
  • Represent the Executive and the company in a positive light through excellent follow-through skills and sound judgment.
  • Manage the Executive's calendar and schedules, set up appointments and meetings, resolving any scheduling issues.
  • Work collaboratively with other EAs across the organization to ensure all team members' meetings are coordinated with thoughtfulness.
  • Make travel arrangements, lodging, and meal planning as needed.
  • Maintain accurate records in data systems.
  • Complete ad-hoc projects as assigned – such as personal events and/or family needs.
  • Pay invoices and track and prepare weekly and quarterly expense reports.
  • Arrange and coordinate company offsite meetings and special events.

The successful candidate will:

  • Have at least 4 years of experience as an Executive Assistant or high-level Personal Assistant.
  • Utilize sound judgment- you can prioritize the tasks for the executives and adjust your workload appropriately.
  • Be resourceful and innovative and proactively seek opportunities and propose solutions.
  • Communicate effectively, able to interact with people of all levels confidently and professionally.
  • Demonstrate excellent time management with a proven track record of meeting deadlines.
  • Enjoy planning and taking care of the details.
  • Think independently and confident in making decisions under pressure.
  • Handle sensitive information with grace, discretion and confidentiality.
  • Have extensive knowledge of office administration, clerical procedures, and recordkeeping systems (MS Office required).

A Plus:

  • French language proficiency is an asset.

Salary: $75,000 to $115,000 /year, commensurate with experience
