The Executive Assistant for Finance and Accounting is responsible for performing minor accounting duties, managing administrative tasks for the Office of Fiscal Affairs and Administration, and organizing various meetings for the Executive Vice President of Fiscal Affairs and Administration. The Executive Assistant serves as a key liaison between the Office of Fiscal Affairs and various constituents across campus, including personnel in the President’s Office and other senior leadership offices as well as external constituents.
The Executive Assistant will perform minor accounting duties including entering Office of Fiscal Affairs invoices for payment, entering budget adjustments, invoicing and monitoring collection of miscellaneous accounts receivables, reviewing executive purchasing card transactions, maintaining technology lease files and documents, maintaining property tax exemption information, preparing and collecting annual sorority and fraternity agreements, providing documents related to the annual external audit as applicable to the assistant’s job responsibilities, and performing other minor accounting duties as assigned.
The Executive Assistant answers phone calls and welcomes guests to the Office of Fiscal Affairs, manages mail distribution for the office, and orders office supplies. The Executive Assistant also assists in managing the Outlook calendar for the Executive Vice President, including scheduling meetings with internal and external constituents, and occasionally plans travel arrangements for the Executive Vice President.
The Executive Assistant is responsible for assisting with board meeting preparation, including scheduling board committee meetings, communicating with committee members and external advisors, scheduling pre-meeting calls as needed, and preparing committee meeting minutes after the conclusion of each meeting.
The successful candidate should demonstrate an understanding of basic business and accounting terminology and the ability to summarize committee meeting minutes on financial matters. The successful candidate should also be proactive in accomplishing tasks, an excellent multi-tasker and organizer with attention to detail, accustomed to working in a fast-paced environment, focused on meeting deadlines, and comfortable communicating professionally with a wide variety of university constituents. The assistant should demonstrate proficiency in the use of all Microsoft products including Outlook, Word, Excel, PowerPoint, and Teams. Proficiency in scheduling and managing meetings in Zoom will also be required. Prior data entry experience in an ERP system is preferred.
A bachelor’s degree (B.S. or B.A.) in a business-related field from an accredited institution of higher education is strongly preferred. Associate Degree is required. Two to three years of experience as an assistant in an office environment is required.
