Apex Fintech Solutions is seeking a Facilities Specialist to maintain daily operations within the Facilities Department. This will include, but not limited to: office suite maintenance, shipping and receiving, mail delivery, office/refreshment supply stock and inventory, employee moves, special event setup, and coordination with external vendors, such as refreshment, janitorial, and construction contractors.
To be successful in this role, you should be well-organized and able to prioritize multiple issues. You should also have good knowledge of basic office equipment.
Responsibilities
- Receive, sort and process incoming & outgoing mail
- Scan incoming processed documents and checks and route to the appropriate departments via internal DMS.
- Utilize the following courier services:
- UPS WorldShip
- UPS Campuship
- Utilize the following mail services:
- USPS
- Endicia
- Pitney Bowes
- Process departmental shipping tracking reports
- Logging incoming and returned mail into proprietary mail logging systems
- Maintain office supplies within the Dallas, Portland, and LA offices.
- Maintain refreshment services (PAR Service) within the Dallas, Portland, and LA offices. • Maintain relationships and utilize the following vendors for supplies:
- Costco
- Sam's Club
- Wilson Office Interiors
- Shred-it
- Iron Mountain
- Park's Coffee
- WRG
- Aramark
- Amazon.com
- Maintain the cloud security system for Dallas & Portland offices
- Monitor office security cameras for the Dallas and Portland offices
- Liaison between Apex and the building management team for the Dallas, Portland, and LA offices. This includes hot/cold, lighting, janitorial, plumbing, parking validations, and drills/emergency response.
- Utilize internal FMS for:
- Supply and Refreshment Requests
- Move Requests
- Desk Reservations
- Floor Plans
- Training room setup
- Meeting & special events setups
- Manage and conduct routine inspections on fire extinguishers and AEDs
- Maintain company stationary, letterhead, envelopes
Requirements
- High School Diploma or GED required
- 0 - 2 years of prior experience in administrative, customer service, or facilities coordination duties, or an equivalent combination of education and experience
- Excellent verbal and written communication skills
- Strong digital literacy skills including use of facilities management software and GSuite/Microsoft Office products.
