FRONT DESK SUPERVISOR/Hillsborough County Job at Joseph Spine Institute
The Front Desk Supervisor travels between our two (2) Hillsborough county (Tampa and Riverview) offices to coordinate and oversee the day-to-day activities of assigned Front Desk staff to ensure compassionate and positive experiences for patients and to establish effective, efficient, and consistent front office and patient scheduling operations. This is a brand-new role – the ideal candidate is experienced in building a new supervisory structure, fostering meaningful relationships, building a positive culture, and thriving in a fast-paced, constantly changing environment.

ESSENTIAL RESPONSIBILITIES:_*
- Coordinates, assigns, and manages the activities of front desk employees on a daily basis in assigned locations.
- Communicates often with Practice Manager to ensure standards of service are being met in providing positive patient experiences.
- Builds a culture for the Front Desk by setting a professional, positive, reliable, accountable, and collaborative example.
- Monitors and schedules ongoing Phreesia and ProScribe calls.
- Oversees daily collections process for copayments, deductibles, and coinsurance.
- Provides daily overviews for front desk work schedules and communicates those plans accordingly so employees know what to expect during clinical rotations.
- Monitors daily tasks of front desk team members to ensure duties are completed properly, accurately, efficiently, and timely.
- Evaluates performance, monitors attendance, coaches subordinate staff, communicates new policies/procedures, counsels, and disciplines staff under direct supervision of the Practice Manager.
- Conducts new hire orientations, monthly staff meetings, and pertinent training for front desk staff.
- Manages and distributes incoming depositions, medical records, and correspondence.
- Identifies, recommends, and initiates solutions to front desk related staffing issues and people problems.
- Assists in disciplinary action and terminations of subordinates in consultation with the HR Manager and Practice Manager.
- Exercises sound judgment and independent thinking while promoting change and innovation.
- Monitors Incoming Fax Folder to ensure proper indexing of site documents.
- Handles PTO approvals and cross coverage schedules for each assigned location.
- Oversees office supplies and cybersecurity training classes for assigned locations.
- Handles other assignments as directed by Practice Manager.
QUALIFICATIONS:
- High School Diploma
- Minimum three (3) years supervisory experience in a medical setting required
- Intermediate medical terminology of the neck and spine
- Solid understanding of PIP Auto Claims, Workers Compensation, Letters of Protection, and related litigative processes
- Above average proficiency in Microsoft Outlook, Word, and Excel
- Working knowledge of Electronic Medical Record (EMR) software including AllScripts and Phreesia
- A sound understanding of all pertinent Federal and state healthcare and safety regulations, including HIPAA and OSHA
- Excellent interpersonal and communication skills - a sincere "people person" who connects with all personalities and exudes collaborative leadership abilities
- Utilizes superior organizational and multitasking strengths while staying focused on achieving Practice goals
- Team player who thrives in a constantly changing environment while responding with compassion, efficiency, confidentiality, and a sense of urgency
- Ability to effectively understand, follow, and communicate oral and written instructions in English. Must read, write, and speak English fluently to ensure clear work-related communication and patient safety
