Summit Ambulatory Surgery Center – Annapolis is seeking a motivated Front Office/Materials Management to join our Urology Team. JOB SUMMARY:
Under supervision of the Site Administrator, the Front Desk/Materials Management works to support Business Office, Materials Management and Sterile Processing essential functions within the Ambulatory Surgical Center (“ASC”). Daily assigned responsibilities will vary depending on the needs of the ASC.
Candidate will possess outstanding multi-tasking abilities, communication and teamwork as well as the ability to keep up in a fast-paced working environment.
Business Office Support Essential Functions and Responsibilities:
Supports Front Desk check-in and check-out of patients including the collection of patient responsibility as determined by the pre-authorization department.
Supports daily preparation of patient charts, ensuring all required forms are placed in designated areas.
Operates telephone system including receiving incoming calls, taking messages, identify nature of business and call.
Performs clerical duties including distribution of mail and messages, monitoring office supplies, and maintaining postage meter as required.
Demonstrates the use of Be Kind processes and strategies to promote empathy and connection, compassion, and optimal communication for those we serve, and those we serve with, because to care is human.
Materials Management Support Essential Functions and Responsibilities:
Maintains appropriate levels of inventory for specified areas of the ASC. Orders supplies from vendors pertaining to all stock and non-stock items. Monitor/process returns from various departments to vendors.
Maintains record of requisitions, purchase orders, and reconciles any discrepancies. Processes packing slips with purchase orders daily and input data into system. Sends purchase orders to billing/business office for all chargeable items used.
Receives and inspects shipments, verifying contents for accuracy against purchase order and for possible damage.
Inputs source implant documents received from the Operating Room(s) in a compliant and timely manner into system. Works and follows up with implant vendors to ensure all documentation is received for billing purposes.
Assists with inventory control and cost containment.
Sterile Processing Support Essential Functions and Responsibilities:
Supports the transport of surgical equipment to appropriate cleaning areas.
Handles instruments in a manner which prolongs “life” of instrument.
Assists with and performs scope and instrument reprocessing under the close supervision of clinical personnel (RN, ST, SPD).
Uses Standard Universal Precautions, appropriate hand hygiene, personal protective equipment, and safe practices to ensure personal safety and a safe environment.

Required Skills:
QUALIFICATIONS
High school graduate or equivalent
Ambulatory Surgical Center or Hospital setting preferred
Proficient skills in Microsoft Office products including Excel
Experience using AllScripts or similar EMR preferred
Ability to apply common sense understanding to carry out detailed written or oral instructions
Ability to deal with problems involving a few concrete variables in standardized situations
Ability to understand the need for confidentiality in the work assigned
Ability to read and comprehend simple instructions, short correspondence, and memos (in English)
Knowledge of department supply items, urologic medical terminology preferred
Experience using materials management related software
Ability to prepare reports and keep records
Skills to maintain effective communication with patients, physicians and ASC staff
Must possess the ability to prioritize responsibilities and handle multiple projects simultaneously
