The YWCA of the City of New York (YW-NYC) is on a mission to eliminate racism, empower women and promote peace, justice, freedom, and dignity for all. We are a multiracial women’s social justice organization dedicated to addressing issues that emerge at the intersection of race, class and gender. Founded in 1858, the YW-NYC is the first YW in the United States and part of an international movement of YWs worldwide. We currently serve 1,500 New York City school children by providing leadership and advocacy training for young women through our high school Girls Initiatives and Out-of-School Time (OST) programs for elementary and middle school students in culturally diverse communities in Manhattan and Brooklyn.
The Program Assistant of Girls Initiatives supports the implementation of YW-NYC’s innovative social justice and leadership programs for self-identified girls between the ages of 14-18. This position is responsible for ensuring efficient departmental operations for all Girls Initiatives programs. This includes collaborations, partnerships, and resources to enhance program offerings and delivery.
The Program Assistant reports directly to the Program Director and is an integral part of the Girls Initiatives team. Some key attributes of this position include the ability to manage complex and detailed tasks with thorough execution; effectively integrating program philosophy and management policies consistent with the organization’s mission and goals; utilizing analytical skills and creativity to develop and implement program initiatives; and the ability to work collaboratively and independently as necessary with key stakeholders and partnering organizations.
Schedule
This is a part-time position slated for 28 hours per week with the flexibility of working between Monday and Saturday. This position is hybrid with in-person days split between the YWCA-NYC Headquarters located at 50 Broadway, Suite 22, New York, NY 10004 and our Family Resource Center at 500 W 56th Street, New York, NY 10019. This position is primarily a sedentary role. However, the person in this position may need to occasionally move about inside the office to liaise with internal staff, access files, office machinery and a copy machine/printer.
Responsibilities
- Assisting with general office administrative management functions, such as processing invoices and payments for vendors and suppliers, general office supply orders (as needed) and management of expense reports including corporate card statements
- Maintaining office calendars and sending out reminders of impending appointments
- Typing letters and reports as may be required from time to time
- Compiling and sending bulk mailings
- Proofreading and making copies of documents
- Assisting in the planning and overseeing significant events
- Assisting in managing the budget for special and routine events
- Making reservations for various off-site business meetings
- Acting as a liaison between different departments and community stakeholders
- Manage Newsletter as well as invoice processing for GI program
- Relaying internal emails to staff
- Reserving equipment and conference rooms for presentations and in-office meetings
- Tracking student attendance and assembling all materials pertaining to program offerings
Skills and Attributes
- Must be proactive, organized, able to perform multiple tasks, and work well with others.
- Possess outstanding administrative and computer skills, have excellent oral and written communication skills and demonstrate sound data and financial acumen.
- Demonstrated experience working with G-Suite, Word, Excel, PowerPoint and other Microsoft and Google applications.
- Ability to manage communications tactfully and professionally with a high attention to detail and accuracy.
- Highly functioning and experienced administrator with ability to self-manage, prioritize work assignments across departments, manage multiple deadlines, and to represent the organization and in any given environment.
- Proven ability to proactively solve problems and follow up appropriately on process and procedural issues.
- A team player with an ability to work in diverse teams with shared responsibility and accountability.
- Ability to contribute to a positive, productive, open, and supportive environment that motivates everyone to work collaboratively as a team.
