Position Overview

As a key member of the Travel W ith Alan team, the Group Operations Associate will work in conjunction with our Group Reservations Team to collectively support our group travel division. You will utilize your superior organization and task management skills to ensure the highest level of client satisfaction through document creation, travel coordination, and administrative support.

This role will work closely with Travel W ith Alan new and existing clients, cruise partners, fellow Travel with Alan’s Reservations & Operations Associates, and report to the Travel W ith Alan Department Manager.

This position is 100% office-based, and the prospective candidate will ideally reside within commuting distance to Direct Travel’s Lynnwood office. With hours M-F 8:30PDT to 5:00PDT.

Responsibilities
  • Coordinate with Group Reservations Team to maintain our customer database and organizing client information into spreadsheets (e.g., cruise line manifests, hotel rooming lists, air itineraries, ground transfers, and client preferences/requests)
  • Delivering quality customer service on all calls and emails, you will proactively assist with problems that might occur on a reservation; partnering with the Group Reservations Team or management to resolve the problem in a courteous/timely manner
  • Prepare, edit, and distribute communications (e.g., letters, emails, invoices, reports, etc.) to clients, travel providers, and internal staff
  • Assist with invoicing and processing outstanding payments to ensure all clients are paid-in-full for their upcoming tour(s).
  • Initiate responses to time-sensitive requests or ensures responsible parties respond within established deadlines
  • Special projects as directed by the Department Manager or Director, Cruise Operations & Technology
  • Additional responsibilities as required

Basic Qualifications
  • High school diploma required
  • Minimum (2) two years’ experience in the area of customer service or operations support required
  • Ability to exercise discretion while working with sensitive information, adhering to strict confidentiality guidelines
  • Must be able to lawfully entitled to work within the US and have unrestricted work authorization for US

Preferred Qualifications

  • Must have excellent interpersonal and communication skills (verbal and written) to interact with customers, employees, and travel providers
  • Outstanding knowledge of Microsoft Office Suite; Excel. Outlook, Teams, and Word
  • Demonstrates strong commitment to customer experience, and passion for innovation and simplicity
  • Ability to remain organized and meticulously detail-oriented amid changing priorities and under strict deadlines
  • Proficiency in Customer Relationship Management platform or Smartsheet preferred
  • Working knowledge of Smartsheet, or comparable product, preferred
  • Work history reflecting ability to apply critical thinking and problem-solving skills, with excellent judgment and initiative

Travel Requirements
  • Ability to travel up to 5%
