The Home Health Administrative Assistant is responsible for preparing physician orders/485s/Face to Face (F2F) for physician offices. Assists with checking in the signed documents once returned from the physician office. Reviews admit paperwork for accuracy. Scans all documentation into EMR/patient’s records daily. Reviews and clears out Print Que daily, faxes, missed visit notes, communications note, prepares therapy evaluations to fax, and other clinical documentation as needed. Responsible for reviewing contract therapy invoices weekly. Responsible for reviewing the Notice of Medical Non-Coverage (NOMNC) form and Discharge Outcome and Assessment Information Set (OASIS) forms for accuracy and correct completion dates. Assists with the preparation of the NONMC/Discharge Summary information for monthly audits. Assists with managing and ordering of home health nursing supplies for field clinicians and patients.
Schedule: Monday - Friday: 8:00 am - 5:00 pm or 9:00 am - 6:00 pm rotating schedule
Location: 7430 Remcon Circle, Building B. El Paso, TX 79912
Primary Responsibilities:
Reviews and processes paperwork turned in by field staff for accuracy
Prepares all physician orders and plan of treatments for liaison to take to physician’s office for signature
Runs outstanding list of physician orders/plan of care for manager weekly
Assist with follow up on physician orders/plan of care not returned within 30 days
Reviews and clears out print que daily in the EMR system
Scans documentation into clinical records patients (EMR) on a daily basis
Faxes all communication notes, missed visits, case conferences to physician’s daily
Contacts field staff for corrections on paperwork turned in when needed
Maintains all physician orders, referral information, service notes from all disciplines, lab reports, and other clinical documentation in an organized manner
Reviews therapy contract invoices to ensure accuracy for payment
Assist with phone calls in office
Communicates messages for CTM regarding physician orders and patients’ concerns
Performs additional duties as assigned by manager
Assists with managing/ordering home health nursing supplies for field staff and patients

Required Qualifications:
High School Diploma/GED (or higher)
1+ year of customer service experience with strong communication skills both in person and via phone
Intermediate level of proficiency with using a computer and computer programs such as MS Excel, MS Word, MS Outlook, etc.
Ability to effectively read and follow written and verbal instructions in English
Ability to operate a computer terminal, printer, fax, and office copier machines
Ability to lift 25 pounds, will be moving product around within office with no assistance
Ability to work mandatory overtime when business requires
Preferred Qualifications:
Bilingual (Spanish/English)
ICD 10 and CPT coding experience
Medical terminology knowledge
Knowledge of general office procedures
Home Health knowledge or experience

This position requires the ability to distinguish visual impressions of shape, size, distance, motion, color, and other characteristics of objects
Major visual functions must include far and near sight acuity with corrective lenses, as needed
Must have sufficient dexterity and visual acuity to operate office machines
Ability to lift 25lbs.
Ability to work in a stressful environment. A positive work environment is promoted for all Agency employees
Work Environment:
Performs duties in the office environment during Agency operating hours. At times, noise levels may be moderately high
Requires ability to handle stressful situations with calmness and courtesy at all times
Occasionally, may need to work extended hours
Acceptable footwear for supply rooms: closed toe shoes with rubber/slip resistant sole with a heel not greater than one inch in height must be worn for safety
Ability to maintain flexibility and adaptability to the work environment is essential
