GENERAL SUMMARY:
Saginaw Public Schools Title IA/IIA Information Management Specialist is responsible for providing support to the State/Federal Programs and Professional Development Department; conveying information regarding state/federal program functions, creating and submitting purchase orders, data collection and communications; setting up and organizing professional development, creating and maintaining web pages and e-forms, and assisting in preparing for activities in support of the program services provided to students, parents, and staff.

DUTIES AND RESPONSIBILITIES:
Respectfully provide customer service, while working with individuals or groups, and use tact and diplomacy in diverse environments
Analyze information related to computer technology and consult with internal department staff in the utilization of software and hardware to meet the needs of the department
Design and maintain easy to access and visually effective web-pages that integrate written and graphical content and assure accessibility and functionality
Create graphical representations
Input and retrieve data from the Michigan Electronic Grants System Plus (MEGS+)
Compile budgets and spreadsheets
Compose correspondence, flyers, brochures, electronic forms and applications
Maintain relational data base system and listserv
Review and respond to principals, teachers, and staff regarding expenditure requests
Assist Director of State and Federal Programs and the Title I Compliance Specialist in managing and maintaining information needed for meetings, professional development, fiscal audits, compliance visits, private schools and parent meetings
Maintain Director’s appointment calendar
Coordinate travel, accommodations and/or arrangements for conferences, workshops and meetings for district professional development
Open and date stamp all department mail on a daily basis, prepare mass mailings, prepare grant proposal application packages, and follow-up as needed
Extensive record keeping of professional development attendance and professional development payroll.
Complete Professional Development Department credit card reconciliation
Extensive recording of federal/state (pass through) grants programs
Maintain appropriate inventory of supplies and materials needed for the State/Federal Programs and Professional Development Department
Support coordination of special projects required to maintain the State/Federal Programs and Professional Development Department operations as assigned
Assist with the purchasing of inventory, equipment, and supplies (e.g., check requests, purchase orders, etc.)
Perform departmental functions such as answering the telephone, filing, copying, faxing, scanning, updating and maintaining files for grant compliance
Monitor the documentation and compliance of building level parental involvement initiatives
Prepare and assemble materials for professional development meetings and training.
Update and manage State and Federal Programs and Professional Development information via the district website and handbook (PD registration software, District Improvement data, etc.)
Assist the Director of State and Federal Programs in providing guidance on effective strategies for promoting collaboration within the district-wide and building-level parental involvement strategies
Prepare and submit reports to the Director of State and Federal Programs/Grants
Perform other duties as assigned
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of grammar, spelling and business correspondence
Knowledge in the use of general business office equipment
Skilled in preparing business correspondence efficiently and accurately
General computer skills
Above average communication skills, both orally and written
Ability to use Skyward, Excel, Access, Word, PowerPoint, Publisher, Adobe, Google Sheets, Google Docs and Google Forms
Ability to work as part of a team to accomplish departmental goals
Ability to exercise strong judgment in analyzing, appraising, evaluating and solving state and federal program implementation challenges in a difficult procedural, organizational or technical nature
Ability to design web-pages and electronic forms
Ability to analyze data
Ability to prioritize tasks, multi-task, work independently and meet deadlines
Ability to work on several projects simultaneously
Ability to adapt to changing situations
Ability to work under pressure with accuracy
Ability to pay close attention to detail
Ability to use numerous organizational methods to ensure information is locatable when needed
Ability to keep information related to grants confidential
Ability to work courteously and professionally with all employee groups
Ability to work in a multi-cultural, urban setting and develop a rapport with students, staff, parents and the school community
EDUCATION AND/OR EXPERIENCE:
Minimum of a Bachelor’s Degree (preferred)
Experience in Information Management, Business, Accounting or Education required
Microsoft Office, Google Drive, required
Skyward, Wisdomwhere (preferred)
Ability to work with people from diverse backgrounds
Previous experience working with relational databases required
