Responsibilities:
Purpose of Your Position
To coordinate the processes for Early Intervention evaluations in accordance with New York State Department of Health Regulations. Schedule evaluations for physiatry and assistive technology to support families in the procurement of ATD. Complete documentation and data entry to ensure timely reimbursement and compliance with regulations.
Position Functions and Responsibilities
- Collect all incoming requests for Early Intervention evaluations (MDE, Supplemental and Assistive Technology). Review and accept authorizations in NYEIS for evaluations/AT services. Print applicable documentation for school record/chart; create school record/chart for any new students.
- Schedule all Early Intervention evaluations in collaboration with ESCS Clinical Coordinator and CRC medical secretary. Schedule appointments for equipment casting, fitting, and delivery in collaboration with vendor and social work team.
- Track and monitor IFSPs to ensure compliance. Review, accept and print documentation to be disseminated to service providers, insurance companies, families and student records.
- Collaborate with Billing Department and service providers to resolve discrepancies in data entry and ensure timely reimbursement.
- Track, collect and upload all progress notes for Outpatient program into NYEIS system.
- Organize and maintain a confidential and comprehensive system for program records ensuring charts are created and filing is accurate and timely, including preparing EI records for long term storage.
- Sit on the EI chart review committee, and take part in any EI audit preparations as needed.
- Prepare intake packets for all evaluations. Collect and distribute school records/charts for all supplemental evaluations and AT visits with physiatrist and/or equipment vendors.
- Collaborate with Elizabeth Seton Children’s School evaluators, social work team, ongoing service coordinators, families, and contracted equipment vendors to ensure accurate completion of ATD forms and timely procurement of recommended ATD equipment.
- Maintain accurate records in data management programs (NYEIS and internal software system). Complete bi-weekly payroll for physicians; complete monthly statistical reports for all AT visits, MDE, and supplemental evaluations.
- Oversee requests for transportation reimbursement from families. Process requests for records from law offices, municipalities and other outside sources in adherence with Elizabeth Seton Children’s School Policy
- Carry out standards for customer service; quality improvement; professional development; environmental, safety and infection control practices; confidentiality, corporate compliance and all other John A. Coleman policies and procedures; attend all mandatory in-services to ensure regulatory compliance and best practices in working with students and their families
- Perform other tasks to support the operations of the school as assigned by School Administration
Education Requirements:
- High school diploma or equivalent; College degree preferred
- Minimum 2-3 years of administrative support experience
- Competent PC skills, including word processing, spreadsheets (Microsoft office environment).
