Position: Law Office Administrator
Salary: $65,000 to $90,000
Bonuses: Bi-yearly discretionary bonus opportunities

About the Firm:
Atherton Galardi (www.athertonlg.com) is a South Florida business litigation firm seeking an experienced Law Office Administrator to oversee management and operation of our growing practice.
Primary Responsibilities:
Financial Management
- Oversee budgeting, projections, and financial statements.
- Collaborate with Managing Member to improve financial controls and identify cost inefficiencies.
- Manage the Firm's billing and collection functions.
- Correspond with the Firm's outside accountants.
- Assist with monthly operating and trust account reconciliations.
Marketing
- Manage the Firm's social media accounts.
- Assist with drafting the Firm's written marketing materials.
- Coordinate Firm marketing/networking events.
- Oversee the Firm's charitable work and community involvement.
- Correspond with media outlets.
- Assist with client newsletters promoting the Firm.
- Consider strategies for increasing business form existing clients while also generating new clients for the Firm.
Human Resources
- Determine attorney and non-attorney hiring needs.
- Recruit, interview, and screen applicants.
- Orient, train and supervise non-legal staff, including paralegals.
- Evaluate non-legal staff and make recommendations regarding work assignments, compensation and discipline.
- Courteously implement and enforce the Firm's rules and policies.
- Supervise payroll and administer the Firm's benefit and retirement plans.
- Create, implement and maintain the Firm's policies & procedures.
- Manage hurricane preparedness and disaster recovery plans.
Information Technology
- Manage the Firm's IT vendor relationships.
- Assist with evaluating potential implementation of new IT solutions for document management, accounting, and remote access.
- Analysis of Firm's cybersecurity hardware, software, and insurance coverage for potential improvements.
- Creation and implementation of IT policies for attorneys and staff.
Facilities Management
- Liaison with landlord and vendors to facilitate the smooth operation of office space.
- Oversee physical document management, including regular shredding of unnecessary documents.
- Assist with existing attorney office moves and new attorney move-ins.
- Monthly purchase of supplies and food/beverages for the office.
Miscellaneous Administrative
- Assist with new client/matter conflict checks.
- Manage engagement letters and receipt of client trust retainers.
- Scan and record copies of all client checks received by mail.
- Manage county tax renewals, Florida Bar renewals and attorney CLE compliance.
- Assist non-lawyer staff as needed.
- Provide creative ideas and input on how to help the Firm run more efficiently and help all employees feel valued and satisfied.

Required Skills and Experience:
- At least 3 years of prior law office management experience required
- Excellent leadership, interpersonal, and communications skills
- Good business judgment and problem-solving abilities
- Able to work well independently
- Solid organizational and project management skills
- Knowledge of basic accounting principles and ability to read financial statements
- Ability to handle sensitive situations with confidentiality
- Bachelor's degree (preferred, not required)
- CLM, CPA, and/or SHRM certifications (preferred, not required)
